Records Clerk II

Records Clerk II Position Overview: The Records Clerk II performs specialized clerical and administrative duties to support police department operations. The role processes, maintains, and safeguards confidential law enforcement records, ensuring the accuracy and integrity of official documents and information. Responsibilities Process, type, file, record, and retrieve a wide variety of police records, reports, forms, memos, letters, complaints, and court documents involving confidential information. Assemble and type materials from marginal notes, rough drafts, verbal instructions, or transcriptions; correct any errors in grammar, punctuation, and spelling. Operate computer terminal to input, obtain, or extract pertinent data. Compile, tabulate, record, and check physical data, and prepare for later reports. Assist departmental staff and the public in person, by phone, and at the front desk; provide excellent customer service. Maintain confidentiality of all information. Prepare document packages for court; transmit or physically deliver documents and other items to court and designated locations. Complete discovery at the request of the Orange County District Attorney’s Office. Communicate with employees and the court regarding availability for subpoenas and court appearances. Log all traffic collision reports, keep statistics on traffic collisions, and prepare monthly traffic reports. Perform other duties as assigned. Education High school graduation or equivalent. Experience At least one (1) year of clerical experience, including typing, varying public contact, and operation of standard office equipment. Experience within municipal government is desirable. Special Requirements Ability to work shift weekends and holidays as assigned. Ability to work mandatory overtime with short notice. Applicants must submit proof of typing speed at the time of application. A typing certificate must be obtained from a recognized test provider and must display the applicant’s name, WPM, accuracy, and date completed. The test must have been completed within the last 12 months and a typing speed of 40 WPM or higher is highly desirable. Benefits Retirement / pension: CalPERS (2% @ 60 for Classic or 2% @ 62 for PEPRA). Flex dollars for CalPERS medical HMO/PPO plans (Tier III): $675 for Employee Only; $1,175 for Employee + 1 Dependent; or $1,450 for Employee + Family. Flex dollars apply to medical, dental (mandatory), $50,000 life insurance (mandatory), and optional vision and AFLAC insurance. Matching deferred compensation contribution (up to $225 per month). City‑paid long‑term disability insurance. Generous leave accruals. 11 paid holidays, including one floating holiday.
