Administrative Assistant I

Administrative Assistant I: Job Description

Performs administrative duties for specific departments as required.

Perform SAP functions and related accounting duties.

Perform notifications, and mailings (Leak letters) as requested.

Review financial data as needed to support department projects.

Track Invoices.

Coordinates the processing of all departmental invoices and submits to Accounts Payable.

Back-up for operations support for field operations, and admin II.

Organizes and maintains department files and records.

Acts as telephone operator/receptionist for incoming calls to department. Answer phones, provides assistance and forwards messages.

Provides miscellaneous clerical support, including mail delivery and the preparation of correspondence.

Performs other assignments as required (PA One Calls & TAP Cards).

Take notes during meeting when requested.

High school diploma required.

2-3 Years of related experience at an Administrative Assistant I level in a fast-paced environment. We are looking for a "can do" attitude.

Competent to use Microsoft Office suite: Word, PowerPoint and Excel.

Exceptional communication skills.

The Administrative Assistant must be able to clearly share information with all parties following attendance at meetings so that resolution may be achieved in a timely manner.

Must be a self-starter with strong problem-solving skills and high level of attention to detail.

Knowledge of SAP software is desirable

Strong customer service skills

Ability to work well under pressure

Ability to work on multiple projects simultaneously and adapt to changing priorities in a fast-paced environment
