Account Services & E-Commerce Coordinator

\n

\n

We are currently seeking a highly organized, detail-oriented Account Services & E-Commerce Coordinator to support wholesale account operations, order management, product data administration, and digital content coordination across our branded and private label businesses.

\n

This position will work closely with Sales, Marketing, Design, Production, Operations, and external retail partners to ensure accurate order processing, timely product information distribution, and successful execution of retailer-specific requirements.

\n

\n

Key Responsibilities

\n

\n

Account Services & Order Management

\n

\n

\n
• Manage and maintain order files, ensuring accuracy and timely processing throughout the order lifecycle.
\n
• Ensure accurate order entry within established 24–48-hour turnaround requirements.
\n
• Establish checks and balances to ensure all orders are captured, processed, and reviewed for accuracy.
\n
• Coordinate order allocations and fulfillment, including reviewing inbound product reports, managing shortages, and ensuring compliance with retailer routing requirements.
\n
• Partner with Imports and Warehouse teams to monitor inventory availability, release orders for fulfillment, and resolve shipping issues.
\n
• Process EDI transactions, manage EDI hold files, and coordinate necessary order revisions.
\n
• Maintain daily oversight of new orders, goods received, and outstanding order activity.
\n
• Serve as a point of contact for retail partners regarding shipping inquiries, order corrections, extensions, and maintenance.
\n
• Partner with Sales and Operations to proactively identify and resolve issues that may delay order processing or fulfillment.
\n
• Review and maintain information within external retailer and vendor portals.
\n

Product Attributes & Digital Content

\n

\n

\n
• Retrieve, organize, validate, and distribute all product attributes required by retail partners, including country of origin, inseam, care instructions, UPCs, prepack information, and additional product specifications.
\n
• Populate and maintain retailer-specific Excel templates, ensuring accurate and complete product information.
\n
• Coordinate product descriptions, attributes, and supporting content across wholesale and e-commerce accounts.
\n
• Ensure product information meets individual retailer requirements, formatting standards, and submission deadlines.
\n
• Maintain accurate and organized product records to support account setup, updates, and ongoing maintenance.
\n

\n

Product Imagery & Retailer Portal Management

\n

\n

\n
• Retrieve and organize required product imagery, including front, side, and back views.
\n
• Rename, format, and organize images according to individual retailer specifications.
\n
• Prepare and distribute image files to retail partners for product setup and website presentation.
\n
• Upload, maintain, and update product attributes and imagery across retailer portals, including Kohl's, HSN, Macy's, Dillard's, Belk, Direct-to-Consumer, and catalog accounts.
\n
• Monitor product listings to ensure attributes, descriptions, and imagery are accurately displayed on retailer websites.
\n
• Identify and coordinate corrections to missing, inaccurate, or outdated product information and imagery.
\n
• Support Direct-to-Consumer accounts by ensuring product content and imagery are properly displayed and maintained.
\n

\n

Sales, Marketing & Cross-Functional Coordination

\n

\n

\n
• Participate in seasonal market kickoff meetings with Sales and Marketing to review upcoming product launches, account needs, and deadlines.
\n
• Partner with Sales and Marketing to identify and coordinate photo shoot lists for upcoming seasons.
\n
• Collaborate with Marketing on product photography, image selection, color corrections, and additional imagery requirements.
\n
• Ensure final approved imagery and product content are available for retailer attribute sheets, account portals, and websites.
\n
• Work closely with Design, Production, Sales, Marketing, Operations, buyers, and e-commerce teams to obtain accurate and timely product information.
\n
• Maintain clear communication with internal and external business partners regarding account requirements, project status, and outstanding deliverables.
\n
• Establish priorities based on seasonal timelines and time-and-action calendars.
\n
• Participate in weekly cross-functional team meetings as needed.
\n
• Provide support across additional business segments when necessary.
\n
• Escalate potential delays, discrepancies, and unresolved issues to management in a timely manner.
\n

\n

Reporting & Account Administration

\n

\n

\n
• Run and review daily order management and fulfillment reports, including unconfirmed orders, open orders, past-cancel orders, confirmed-not-shipped orders, and oversolds.
\n
• Review open order reports with Sales weekly to identify potential issues and determine corrective actions.
\n
• Review Flash Reports and other operational reporting as required.
\n
• Maintain organized files, account documentation, product information, and email correspondence.
\n
• Track outstanding account deliverables, portal submissions, product updates, and deadlines.
\n
• Proactively identify process improvements to enhance accuracy, efficiency, and communication.
\n

Qualifications & Requirements

\n

\n

\n
• 2–5 years of related experience in account services, wholesale operations, e-commerce coordination, product data management, or a related function, preferably within the apparel or fashion industry.
\n
• Experience supporting major retail accounts and managing retailer-specific requirements preferred.
\n
• Experience with RLM, PLM, Salsify, or comparable product information management systems a plus.
\n
• Knowledge of EDI processing, order management, and wholesale fulfillment processes preferred.
\n
• Proficiency in Microsoft Office, with strong Excel skills including formatting, sorting, formulas, and data management required.
\n
• Experience with product attributes, item setup, retailer portals, and digital asset management preferred.
\n
• Strong analytical skills with exceptional attention to detail and accuracy.
\n
• Excellent organizational, time management, and problem-solving abilities.
\n
• Strong project coordination skills with the ability to manage multiple deadlines and competing priorities.
\n
• Ability to work independently while collaborating effectively with cross-functional teams.
\n
• Strong written and verbal communication skills, including excellent grammar and proofreading abilities.
\n
• Ability to maintain accurate, organized files, documentation, and email records.
\n

Salary Range

\n

$60,000–$75,000 annually

\n

Actual base salary for this role within the above range will be based upon experience, qualifications, and/or assigned business unit.
