Administrative Coordinator

$21 per hour

Overview Special Projects & Administrative Coordinator role to coordinate schedules for special projects (e.g., carpet cleaning, seat cleaning) and provide administrative support. Training will be provided; candidates should be proactive, professional, and take initiative with a sense of urgency. Company KBM is one of the largest janitorial companies operating across the continental United States since 1994. We offer services from daily janitorial to disinfecting, carpet cleaning, and pressure washing, serving industries including movie theaters, malls, office buildings, restaurants, retail stores, vacation rentals, and more. See Who We Are: Benefits and Compensation Benefits: medical/dental/vision benefits, 401K, and vacation time. Pay rate: $21.00 per hour. Schedule: About 40 hours per week. Availability: Standard office hours with the expectation to monitor communications for urgent updates as needed. Responsibilities Scheduling: Coordinate project dates and times, ensuring cleaning crews and customers are aligned. Customer Communication: Serve as primary contact for clients via email and phone; provide updates and answer questions professionally and promptly. Vendor Communication: Maintain open lines with crews; respond to emergency situations in a timely and efficient manner. Admin Support: Handle day-to-day administrative tasks such as updating logs, filing digital paperwork, handling vendors, and ensuring project records are accurate. Email Responsiveness: Monitor project-related emails and address urgent customer needs, including outside standard office hours as needed. Process Follow-through: Follow established checklists and procedures to deliver high quality work and safety; adhere to company guidelines for employee relations and termination procedures. Bilingual (English/Spanish) preferred but not required. Qualifications Strong commitment to high level service and quality standards. Professional written and verbal communication skills. Ability to plan, organize, direct, and delegate. Ability to work well under pressure and meet deadlines. Strong sense of urgency; punctuality is the baseline for success. Experience managing employees. Excellent Microsoft Office skills (Word, PowerPoint, Excel, Outlook). Proficient with basic digital tools (email, spreadsheets, calendars); ability to learn more with training. Must be able to pass a background check.
