Job Description

Prime Electric Wholesale Corp. is an established electrical supply distributor seeking an experienced, organized, and motivated Purchasing Agent to join our growing team.

We are looking for a dependable professional with a strong background in the electrical wholesale distribution industry who understands purchasing operations, inventory management, vendor relationships, and the importance of maintaining competitive costs and product availability.

The ideal candidate is detail-oriented, proactive, an effective negotiator, and capable of managing multiple purchasing priorities in a fast-paced environment.

Previous experience in the electrical wholesale distribution industry is REQUIRED.

Key Responsibilities

Purchasing & Procurement

• Review purchasing requirements and place timely, accurate purchase orders for stock replenishment, customer orders, and special-order materials.
  
  
• Analyze inventory levels, purchasing history, sales trends, and product demand to determine replenishment needs.
  
  
• Maintain appropriate stock levels while minimizing excess inventory and unnecessary purchasing costs.
  
  
• Source materials from manufacturers and suppliers while ensuring competitive pricing and product availability.
  
  
• Negotiate vendor pricing, discounts, freight charges, and delivery terms to maximize profitability.
  
  
• Identify opportunities for cost savings and purchasing efficiency.
  
  

Vendor Management & Order Tracking

• Develop and maintain strong professional relationships with domestic and international manufacturers, suppliers, and vendor representatives.
  
  
• Monitor open purchase orders, confirm order acknowledgments, and follow up on expected shipping and delivery dates.
  
  
• Communicate and resolve backorders, shipping delays, shortages, and vendor-related issues.
  
  
• Coordinate with vendors to expedite critical materials when necessary.
  
  
• Handle incorrect shipments, damaged materials, product returns, and vendor credit requests.
  
  
• Maintain accurate vendor pricing, purchasing records, and order documentation.
  
  

Inventory & Warehouse Coordination

• Work closely with warehouse, sales, and management teams to ensure product availability and timely order fulfillment.
  
  
• Coordinate stock replenishment and inventory purchasing based on business needs.
  
  
• Assist in resolving inventory discrepancies and receiving issues.
  
  
• Monitor slow-moving and excess inventory and recommend improvements.
  
  
• Support accurate inventory records and efficient purchasing procedures.
  
  

Purchase Order & Invoice Administration

• Ensure purchase orders are entered accurately with correct quantities, pricing, and delivery information.
  
  
• Review and reconcile vendor invoices against purchase orders and receiving records.
  
  
• Resolve pricing discrepancies, shortages, and invoice-related issues.
  
  
• Coordinate with accounting on vendor credits, invoice approvals, and payment processing.
  
  
• Maintain organized purchasing documentation and follow up on outstanding purchase orders.
  
  
• Perform additional purchasing and administrative duties as needed.
  
  

Required Qualifications

• Previous experience working in electrical wholesale distribution (REQUIRED).
  
  
  
• Strong knowledge of electrical supply products, manufacturers, and wholesale purchasing procedures.
  
  
• Experience with purchase order processing, vendor communication, and material procurement.
  
  
• Strong negotiation skills and the ability to secure competitive pricing.
  
  
• Excellent organizational skills and attention to detail.
  
  
• Ability to manage multiple purchase orders, vendors, and deadlines simultaneously.
  
  
• Strong verbal and written communication skills.
  
  
• Proficient computer skills, including Microsoft Excel, Word, and PDF applications.
  
  
• Ability to work independently, solve problems, and take ownership of responsibilities.
  
  
• Dependable, punctual, adaptable, and comfortable working in a fast-paced environment.
  
  

Preferred Qualifications

• Previous purchasing or inventory management experience with an electrical wholesale distributor.
  
  
• Experience using Epicor Solar Eclipse or a similar distribution ERP system.
  
  
• Familiarity with major electrical manufacturers, product lines, and vendor pricing structures.
  
  
• Experience analyzing purchasing trends, inventory turnover, and stock replenishment needs.
  
  
• Established relationships with electrical manufacturers and supplier representatives.
  
  
• Experience negotiating purchasing costs, freight terms, and supplier discounts.
