Administrative Assistant to Compliance and Risk Management Departments

Overview Dodge & Cox is seeking a flexible, self‑motivated Administrative Assistant to support our Compliance and Risk Management Departments. The successful candidate will perform general office duties such as scheduling, calendar management, coordinating internal and external meetings, document review and tracking, record keeping, and arranging travel. The role requires a highly professional, discreet individual who maintains a positive demeanor and strict adherence to confidentiality. Key Responsibilities Organize and schedule meetings and training events, including the Annual Compliance meeting, in alignment with priorities and matters requiring immediate attention. Maintain and monitor team calendars. Prepare, gather, and distribute meeting materials and agendas. Track and coordinate the review of policies and procedures (Compliance Manual) and other documents, including client requests, RFP requests, and various other requests. Prepare conference rooms and assist with the set‑up of AV and videoconferencing, including running and moderating virtual meetings. Organize lunches, order catering, and plan and arrange holiday and team events. Prepare, edit, and proofread documents, including correspondence, presentations, memoranda, minutes, and procedures. Perform routine administrative tasks such as preparing FedEx/USPS labels, running redlines, filing, copying, scanning, and faxing. Arrange international and domestic travel, including location tracking, preparing conference registrations, and processing expense reports via Workday. Maintain and troubleshoot the Compliance and Risk Management Departments’ Teams Channels, SharePoint sites, and OneNote(s). Support team members in the adoption of new technology and software, including AI. Serve as an internal liaison for Dodge & Cox employees for matters/questions related to Compliance and Risk Management. Update job knowledge and skills by participating in training and educational opportunities, as appropriate. Qualifications Four‑year college degree preferred. Minimum of five years of experience in a related position in the financial services industry. Positive attitude, ability to adapt quickly to change, and willingness to take on new projects. Demonstrated ability to follow work processes, manage multiple priorities calmly under pressure, meet deadlines, and take independent initiative within areas of responsibility. Highly organized, keen attention to detail, service‑oriented, responsible, reliable, proactive, and team‑oriented. Enthusiasm for continuous learning and building skills to improve effectiveness and efficiency. Sound judgment and discretion, i.e., ability to keep information confidential. Excellent written, verbal, and interpersonal communication skills, including the ability to interact effectively with other employees and company management. High proficiency with Microsoft Office (Teams, OneNote, Word, Excel, PowerPoint, Outlook), SharePoint, and Adobe Acrobat. The ability to quickly learn and use new database and software systems. Experience working with and troubleshooting multiple devices and operating systems. Compensation & Benefits Salary range: $100k – $120k. The listed pay scale denotes only the base salary and does not include discretionary bonus compensation, which may make up an important portion of the total remuneration. Dodge & Cox offers comprehensive benefits, including coverage of 100% of all healthcare premiums for employees and their families, and fully funding a retirement plan at 25% of the total compensation to the IRS limit.
