Spoke's print-on-demand solutions and premium product assortment are standing by to help expand your inventory and fulfill your event and gifting needs!The PositionThe Administrative Coordinator supports both the financial operations and execution of PCNA's marketing team. This role is responsible for managing purchase orders, tracking expenses, and supporting monthly budget oversight, while also coordinating national tradeshows, internal and external events, and projects as needed.This position ensures strong financial discipline and seamless operational execution from planning through follow-up. The ideal candidate thrives in a fast-paced environment, demonstrates exceptional organizational and administrative skills, and takes ownership of details that keep marketing initiatives on track and on budget.Key ResponsibilitiesBudget Management Manage purchase orders and capex submissions for the marketing teamManage purchase card for expenses across the teamTrack monthly marketing expenses and reconcile to budget tracker to ensure alignment with approved budgetsMaintain organized documentation and vendor records for renewals and payments Team Administrative Management Manage logistics for team meetings (hotel, transportation, meeting space, communications)Assist with onboarding of new marketing employeesManage email groups and ensure access to MarTech platformsOrder samples as needed for teamSupport logistics for meetings and events as needed, including venue coordination and materialsEvent SupportCoordinate event ordering product, signage, and accessoriesCoordinate event shipping and packing of product and booth materialsCoordinate staff logistics and travel detailsOrder and manage branded giveaways and apparelContent SupportAssist with proofing of marketing collateral (flyers, brochures, signage, etc.)Prepare and review product and pricing data files to ensure accuracySkills and KnowledgeStrong organizational and project management skillsExperience managing PO's and reconciling spend and budgetsHigh attention to detail, particularly with financial tracking and data accuracyStrong written and verbal communication skillsProficiency in Microsoft Office with strong proficiency in ExcelExperience supporting tradeshows, events, or executive-level administrative functions preferredMinimum Qualifications3+ years of experience in administrative coordination, executive assistant, or related roleExperience managing budgets, expenses, or purchase ordersExperience managing spreadsheets in ExcelBachelor's degree preferred, high school diploma requiredPCNA is an equal opportunity employer.
