Summary The Legal Executive Assistant (LEA) works in collaboration with and in support of the firm’s strategic initiatives. The LEA supports lawyers by managing the daily functions of an attorney’s practice, allowing them to concentrate on developing and sustaining their practice. The LEA serves as an executive‑level assistant, creating connections, delivering critical information, ensuring meetings and materials are accurate, and serving as a trusted business partner to help deliver against the priorities of the practice and clients. The LEA is a collaborative partner to Legal Administrative Assistants (LAA) and Legal Support Assistants (LSA) who support the attorney’s legal team. Location This position is located in our San Francisco or Palo Alto office and offers a hybrid work schedule. Responsibilities Provide support and management of the attorney’s projects, ensuring deadlines are met and tasks are completed efficiently; consult with lawyers and administrative teams to ensure project milestones are adhered to. Serve as a liaison between attorneys, clients, and other internal departments, handling inquiries and relaying messages accurately; use independent judgment and make sound decisions on behalf of the attorney. Develop and maintain professional relationships to ensure teams work together efficiently; provide clear direction and constructive feedback on projects and assignments; build trust, resolve conflicts, and collaborate effectively with people at all levels. Delegate assignments as necessary to LSAs and AskLegalSupport; monitor progress and communicate on behalf of the attorney to ensure timely and accurate completion; deliver service feedback and make improvement recommendations to firm management. Collaborate with other LEAs or LAAs to complete more complex projects or provide additional support for attorneys; provide mentorship and support to LSAs. Provide feedback for the professional development of LSAs; deliver ongoing feedback and mentoring, offering continual improvement opportunities. Draft, proofread, and finalize legal documents, correspondence, and presentations on behalf of the attorney; review and ensure accuracy of final work product; provide feedback to internal teams to improve outcomes. Oversee maintenance and organization of electronic and paper filing systems within the firm’s DMS; ensure all work products are accessible and up to date. Conduct research on behalf of the attorney and practice group; compile information for case preparation and executive briefings; consult with internal support teams to complete presentations and materials. Oversee meeting planning and coordination with internal and external parties; prepare meeting agendas and ensure presentations and materials are ready; manage requests initiated during meetings in a timely and accurate manner. Oversee billing matters, including approval forms and collaboration correspondence; process prebills accurately and timely; serve as a proxy for attorneys on billing questions; ensure final bills are delivered promptly and follow up as requested. Manage the attorney’s calendar, schedule meetings, resolve conflicts, and organize complex travel itineraries; communicate potential conflicting priorities and offer solutions; ensure expenses and time entries are processed correctly. They offer solutions, assist with requests and challenges, and showcase strong communication and people skills. The candidate is process‑driven, manages time efficiently, prioritizes tasks, multitasks in fast‑paced environments, pays attention to detail, works well under pressure, and remains positive. They are also competent with technology and firm software, adept at research tools, case‑management, accounting, and standard production applications, and flexible in adopting new tools and learning new skills. Minimum Education High School Diploma or GED. Preferred Education Bachelor’s degree in legal studies, business administration, or a related field. Minimum Years of Experience 5 years of experience in an administrative role within a corporate or legal environment providing support to upper‑level leadership. Essential Job Expectations Effectively communicate, verbally and in writing, with clients, lawyers, business professionals, and third parties. Produce deliverables, answer phone calls, and reply to correspondence in an efficient and responsive manner. Provide timely, accurate, and quality work product. Successfully meet deadlines, expectations, and perform work duties as required. Foster positive work relationships. Comply with all firm policies and practices. Engage in both physical and sedentary activity, including computer work and virtual conference calls. Work under pressure and manage competing demands in a fast‑paced environment. Perform all other duties, tasks, or projects as assigned. Physical Demands Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time; walking and standing are required only occasionally. Work Environment Hybrid work arrangement comprised of remote and in‑office work; requirements determined in coordination with the hiring manager and may be modified at the firm’s discretion.
