Turnbull Center in Portland. Degrees offered are the BA, BS, MA, MS, and Ph.D. As a community of media and communication scholars, journalists, strategic communicators, and content producers, we continuously strive to create a more just, equitable, and inclusive society as part of our mission. Position Summary Are you ready to take on a challenging and rewarding role as the Executive Assistant (EA) for the Dean of the School of Journalism and Communication (SOJC)? As the EA, you will be the driving force behind the efficient functioning of the SOJC Dean's Office, providing high-level administrative and operational support. You will be the go-to person for faculty, staff, students, and visitors at the SOJC, ensuring that all executive-level work is meticulously organized, coordinated, and completed accurately and on time.
In this role, you will be responsible for orchestrating a wide range of administrative activities within the SOJC, from managing the calendar of events to handling correspondence, meetings, expense reports, internal and external relations, development activities/events, and providing confidential executive support to the Dean. You will also take charge of managing the Dean's calendar, including scheduling meetings, events, travel, interviews, and necessary preparations for each.
Your role as an EA will position you as a vital communication link, frequently interacting with other units within and outside the SOJC. Given the nature of this position, you will be involved in handling sensitive and confidential issues, processing documentation, and/or conversations related to personnel action associated with SOJC employees. Your ability to exercise good judgment, maintain confidentiality, behave with utmost professionalism, and demonstrate exceptional interpersonal skills in working with a diverse campus community will be crucial.
This pivotal position reports directly to the Dean of the School of Journalism and Communication and is based in the Dean's Office. While remote work options are available during breaks and summer, during the academic year this role is expected to be in the office M-F during core business hours. Minimum Requirements
• Bachelor's degree OR equivalent combination of skills, experience, education, and training.
• Three years' experience providing confidential executive support that includes experience managing a calendar for an executive-level position.
• Three years of office and project management experience of increasing responsibility, including serving as team lead on projects. Professional Competencies
• Ability to prioritize tasks, work independently, manage projects and initiatives, and solve problems.
• Ability to organize time-sensitive and complex work.
• Ability to produce professional correspondence and attractive presentations, following outlined branding standards.
• Exceptional communication skills, including the ability to write and speak on behalf of the SOJC Dean.
• Ability to interact professionally with all levels of the University of Oregon community and its constituencies.
• Ability to work effectively with students, faculty, and staff from a variety of diverse backgrounds in support of creating a welcoming and inclusive environment.
• Proficient computer skills in word processing, spreadsheet, database, and desktop publishing.
• Integrity in dealing with confidential information.
• Flexibility to shift directions quickly when priorities change and deliver against tight deadlines. Preferred Qualifications
