OVERVIEW

As a Legal Executive Assistant, you will support senior attorneys while working under the guidance of the Los Angeles Office Director of Administration. This non-exempt position operates on a schedule from 8:45 am to 5:15 pm, Monday to Friday, with additional hours as needed. The role is based in our Century City office.

ESSENTIAL JOB FUNCTIONS

Act as a primary liaison for a senior attorney, managing communications independently under tight deadlines and in high‑pressure situations with professionalism and a solutions‑oriented approach. Prepare expense reimbursements and process invoices for clients or vendors. Coordinate all types of meetings, including conference calls, Zoom meetings, and in‑person gatherings. Maintain the calendar and contacts for Executive, MP, Partner, or Manager. Monitor mailboxes and manage an organized electronic filing system in Outlook. Perform document conversions, such as PDF to Word. Handle incoming calls and accurately relay messages. Coordinate travel arrangements (air, hotel, rail, car rental) through the firm’s travel agency. Assist with various administrative tasks, special projects, and provide coverage for other admins as required. Input attorneys’ time into the WebTime time entry program. Prepare, finalize, and distribute client Engagement Letters and initiate Conflicts Checks. Maintain physical client files, including creating records and preparing materials for off‑site storage. Collaborate with the Billing department regarding billing accuracy and process improvements. Assist in creating presentation materials. Draft, format, and proofread correspondence, reports, and other documents necessary for meetings and projects. Document inquiries directed to the Executive and coordinate responses as appropriate. Analyze incoming correspondence to determine priority and respond accordingly. Provide recommendations for appropriate action and follow‑up. Develop and maintain a comprehensive understanding of law firm practices and protocols. Support meetings and provide additional administrative assistance as needed. Organize and prioritize Outlook Inbox communications and maintain filing systems. Collaborate closely with other executive coordinators on administrative initiatives.

QUALIFICATIONS & REQUIREMENTS

Advanced proficiency in computer applications including Windows 7 and Microsoft Office Suite. Flexibility to adjust hours according to business needs, including overtime as necessary. A college degree is preferred or equivalent work experience is required. Demonstrated executive‑level administrative experience. Able to interface collaboratively in a complex management environment. Efficient working both independently and as part of a team. Capability to work effectively under pressure. Strong interpersonal and communication skills, both verbal and written. Excellent client service skills, comfortable interacting with firm clients. Outstanding organizational skills with a keen attention to detail. Able to follow directions accurately. Sound business judgment and the ability to multi‑task. Proactive in anticipating needs and demonstrating initiative.
