Surgical Oncology Practice Manager

POSITION SUMMARY

The Practice Manager is responsible for the overall coordination, administration, and operation of our surgical oncology practice. This role ensures the efficient delivery of high-quality patient care, supports clinical and administrative staff, manages business operations, and fosters an environment of continuous improvement. The Practice Manager serves as key liaison between physicians, staff, patients, and external partners.

CORE ESSENTIAL RESPONSIBILITIES

Oversees the daily operations of the surgical oncology clinic, including scheduling, patient flow, staffing, and resource allocation to ensure efficient operations and a high-quality patient experience. Recruits, supervises, coaches, and evaluates administrative and clinical support staff. Oversees and manages patient scheduling and appointment coordination to ensure accurate appointment selection, timely access to care, and optimized provider utilization. Collaborates with physicians, advanced practice providers, nursing, and administrative leadership to optimize clinic workflows, provider templates, space utilization, and service delivery. Coordinates the onboarding and offboarding of physicians and advanced practice providers assigned to the practice. Monitors budgeting, billing, collections, and revenue cycle performance. Ensures accuracy of operational and clinical data collection and reporting. Develops, implements, and monitors compliance with clinic policies, procedures, and regulatory requirements. Maintains patient confidentiality and safeguards protected health information. Audits patient and departmental records to ensure timely and accurate documentation. Maintains a safe and compliant work environment. Communicates operational performance, issues, and recommendations to physicians and senior leadership. Partners with organizational leadership on strategic, operational, and financial initiatives. Performs other duties as assigned to support departmental and organizational goals.

REQUIRED EDUCATION & EXPERIENCE

Bachelor’s degree in business, Healthcare Administration, or Finance required Master’s degree in Business Administration (MBA), Public Health (MPH), Healthcare Administration (MHA), or a related field preferred. Minimum of 5 years of work experience in Medical Practice Management. Oncology or Surgical Experience preferred

REQUIRED KNOWLEDGE, SKILLS OR ABILITIES

Excellent verbal and written communication skills, with strong interpersonal, customer service, and conflict-resolution abilities. Strong analytical skills and attention to detail. Strong business acumen with the ability to exercise sound judgment, take initiative, and drive results. Advanced proficiency in Microsoft Office applications, including Microsoft Excel, Microsoft Word, and Microsoft PowerPoint, as well as business intelligence and reporting tools. Comprehensive knowledge of patient registration, scheduling, insurance verification, referrals, authorizations, and front-end revenue cycle operations. Knowledge of commercial and government insurance plans, reimbursement requirements, and payer regulations. Understanding of financial counseling, time-of-service collections, cash handling, budgeting, and basic financial management principles. Proficiency in electronic health record (EHR) and patient access systems. Knowledge of medical terminology and oncology-related clinical workflows. Knowledge of applicable federal and state regulations, including HIPAA and other privacy and compliance requirements. Ability to manage difficult conversations and resolve issues professionally with patients, families, providers, and staff. Strong collaboration skills with clinical, operational, and revenue cycle teams.
