Lead Patient Services Assistant-SMMC North County Clinics-Spanish Speaking Prfd. (Open and Promo)

Position Title: Lead Patient Services Assistant Location: Daly City Youth Health Center, San Mateo Medical Center, North County Clinics. Work Schedule: variable 8‑hour shifts, 5 days per week, with flexibility for evenings and weekends. May require travel throughout the County. Key Responsibilities Provide lead direction, training, and work review to a team of 12–13 patient services support staff. Organize and assign work, set priorities, and follow up to ensure coordination and completion. Perform difficult or complex patient services support work and assist with special office projects. Select candidates, conduct performance evaluations, and address corrective action matters. Research, compile, and analyze information for forms and reports; perform arithmetic or statistical calculations. Provide information to the public or County staff requiring judgment and interpretation of policies, rules or procedures. Maintain departmental files and stay organized. Type correspondence, reports and documents, proofread for accuracy, completeness, and compliance with policies. Enter and retrieve data and prepare reports using computer systems; verify accuracy. Perform office administrative tasks such as ordering supplies, arranging repairs, transmitting information, keeping reference materials current. Serve as receptionist, screen visitors and telephone calls, direct callers, or handle calls personally. Process forms and records such as work orders and purchase requisitions. Provide backup for assigned staff and assist off‑hours as required. Ideal Candidate Qualifications At least two years of experience delivering high‑quality customer service. Experience working with diverse, multicultural, or underserved patient populations. Ability to learn and analyze rules, regulations, policies, and procedures quickly and convey them clearly to customers. Excellent written and oral communication skills. Capable of dealing tactfully, courteously and effectively with patients, visitors, and co‑workers in difficult circumstances. Positive professional attitude in a fast‑paced and occasionally stressful environment. Knowledge of healthcare billing processes. Working knowledge of electronic medical record systems (e.g., EPIC). Key Knowledge Areas Basic supervisory principles and practices. Office administrative practices and procedures, including filing and standard office equipment operation. Policies and procedures related to the organizational area. Medical terminology relevant to office support work. Business data processing principles and use of word processing, personal computing equipment. Proper form for typed materials. Business arithmetic, including percentages and decimals. Proper English usage, spelling, grammar and punctuation. Record‑keeping principles and practices. Skills & Abilities Plan, assign, direct and review the work of others. Train others in work procedures. Analyze and resolve varied patient services administrative problems. Organize, prioritize, and coordinate work activities. Read and interpret rules, policies, and procedures. Organize, research, and maintain office files and records. Establish and maintain effective working relationships with coworkers and external contacts. Use initiative and sound independent judgment within guidelines. Operate standard office equipment, including word processors and computers. Education & Experience Any combination of education and experience that would likely provide the required knowledge, skills and abilities is qualifying. A typical qualification requires: Two years of journey‑level patient services and medical business office support experience. Additional Note Specific positions may require the ability to type at a rate of 40 net words per minute from printed copy.
