Because its Board of Directors covers 100% of all administrative, fundraising, and evaluation costs, every dollar donated goes directly to organizations helping New Yorkers in need.
Robin Hood's primary focus is on New York, but its impact extends far beyond the borders of the city. Its pioneering, metrics-based approach has become the gold standard for charities around the nation as Robin Hood works to understand and evaluate the impact of its partners to ensure that its philanthropic dollars are utilized to maximum impact. Robin Hood also supports its community partners and their leaders with financial and strategic support and management assistance that allows those organizations to maximize their impact.
Building on our 30 years of experience, Robin Hood is expanding our impact with an explicit focus on lifting families sustainably and measurably out of poverty through supporting the most effective community partners; influencing public policy; raising our thought leadership profile; importing and exporting effective ideas and strategies nationally; and building new collaborations with strategic partners. As New York City emerges from the worst of the global pandemic, we are focused on getting families back on their feet; getting kids back on track; and getting New Yorkers back to work.
Robin Hood also understands that if we are to support families living in poverty and find permanent pathways out of poverty and towards financial independence, we must become an effective partner with government, especially at the City and State levels. We do this by leveraging the expertise of those who are closest to the challenges of poverty, including community members, community-based organizations, and others with specialized skills and knowledge. We also aim to collaborate with New York City government to fund program and policy innovations that hold the promise of expanding economic opportunity in New York City providing nimble "risk capital" for high-potential strategies. In this way, we seek to leverage our philanthropic investments by finding ways to advance the highest-impact strategies at scale.

Reporting Relationship
The Executive Assistant to the CEO is on the Office of the CEO team and will report to the CEO and the Chief of Staff.
Position Overview
As the Executive Assistant to the Chief Executive Officer of Robin Hood, you will manage the complex, high-volume calendars for the CEO, Chief of Staff, and Chief Program & Impact Officer, serving as the primary gatekeeper and scheduler for these senior leaders and coordinating the critical day-to-day meetings essential to their work.
More broadly, you will act as a strategic partner in maximizing the CEO's effectiveness ensuring time is allocated to the highest-priority work, that the CEO arrives at every meeting fully briefed and prepared, and that action items are tracked through to appropriate follow-up. As the forward-facing point of contact for the executive offices, you will bring close attention to detail, sound judgment, and responsiveness to your professional interactions with our Board of Directors, major donors, and senior leaders, while expertly balancing competing priorities and optimizing executive time.
Responsibilities
- Organize complex calendars and schedules and sustain a daily calendar of meetings and events.
- Use discretion, confidentiality, and good judgment to handle C-Level matters.
- Arrange travel and accommodation for executives. Prepare expense reports.
- Track and reconcile expenses for the office of the CEO.
- Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
- Draft and prepare internal and external correspondence on behalf of principals.
- Manage the CEO's contacts.
- Be responsive to emails/texts/phone calls, including outside of normal business hours.
- Welcome the Executive's guests by greeting them, in person or on the phone; answering or directing inquiries.
- Represent the company and the Executive in a positive light through great follow-through skills and sound judgment.
- Conserve the Executive's time by reading, researching, collecting and analyzing information as needed, in advance.
- Prepare agendas, briefing materials, and pre-reads for the CEO's key meetings, ensuring all relevant background and materials are assembled in advance.
- Track action items and commitments arising from meetings and proactively follow up to ensure timely completion.
- Represent the CEO at select meetings as appropriate.
- Serve as backup support for Board and Committee logistics (e.g., scheduling and materials preparation).
- Support special projects as assigned, such as research to inform strategic decisions, editing presentations, and other ad hoc analytical or administrative work.
Note that Robin Hood has a hybrid work environment, but the Executive Assistant should be available as needed in the office whenever the CEO is present.
Qualifications
- A minimum of 7-10 years of experience supporting C-Level Executives.
- Strong organizational and time management skills; proven ability to prioritize multiple tasks and meet deadlines.
- Exceptional interpersonal and communication skills with the ability to build relationships with stakeholders, including staff, board members, external partners and donors.
- Strong writing, research and presentation skills.
- Strong research and synthesis skills, with the ability to distill information from multiple sources into clear, actionable briefings.
- Project management experience.
- Attention to detail is crucial.
- Ability to function in a high-energy environment and work closely with senior management.
- Proven ability to handle confidential information with discretion, use judgement, be adaptable to various competing demands, and demonstrate the highest level of client service.
- Flexibility and patience.
- Knowledge of MS Office Suite, Salesforce, Notion, Slack, Zoom, Google Workspace, and other tools.
