The Role

The Project Coordinator & Scheduler sits at the center of project execution, supporting Project Managers, coordinating technician schedules across multiple concurrent jobs, and serving as the communication link between clients, field teams, and internal departments. This role is equal parts logistics, coordination, and follow-through, and embodies our six core values: collaborative, accountable, proactive, curious, passionate, and creative.

Responsibilities

• Supports Project Managers with day-to-day project activities, documentation, change orders, and milestone tracking.
• Builds and manages installation and technician schedules across multiple projects, assigning resources based on scope, location, and skillset.
• Monitors resource availability and adjusts schedules proactively in response to delays, scope changes, or conflicts.
• Coordinates with warehouse and logistics teams to align technician schedules with material delivery timelines.
• Tracks procurement and ensures timely delivery of equipment and materials to job sites.
• Acts as a central communication point between clients, project managers, subcontractors, and field teams.
• Schedules client meetings, site walks, and punch list closeouts; communicates project scope and schedule updates to all stakeholders.
• Produces daily/weekly dispatch summaries, project timeline updates, resource utilization reports, and closeout documentation.
• Performs other duties as assigned.

Qualifications

• High school diploma or equivalent.
• Experience in project coordination, scheduling, or operations; construction, technology, or field services a plus.
• Proficiency with scheduling tools such as Smartsheet, Microsoft Project, Asana, or Monday.com.
• Experience with ERP or project management platforms such as NetSuite, Salesforce, or Procore.
• Strong Excel and Google Sheets skills for scheduling, reporting, and tracking.
• Exceptional organizational and multitasking skills in a fast-paced, deadline-driven environment.
• Clear communicator, able to work effectively with technicians, managers, and clients alike.

Physical Requirements

• Prolonged periods of sitting and working at a desk or computer.
• Occasional travel to job sites for scheduling coordination and site walks.
