We are seeking a detail-oriented and customer-focused Collections Specialist to support accounts receivable management and maintain healthy cash flow within a fully remote environment. In this role, you will take ownership of overdue customer accounts, proactively follow up on outstanding payments, and help resolve billing issues that may delay collections. You will work closely with customers and internal accounting and operations teams to streamline payment processes and ensure accurate documentation. Accountabilities

• Proactively contact business customers by email, phone, or video call to follow up on overdue invoices, secure payments, and maintain accurate records of collection activities.
• Build professional relationships with customers, respond to billing and payment inquiries, and provide clear explanations to help resolve outstanding account issues.
• Collaborate with accounting and operations colleagues to investigate and address obstacles that delay payments, adapting solutions to each customer's circumstances.
• Identify alternative customer contacts when existing points of contact are outdated, unavailable, or unresponsive to ensure collection efforts continue effectively.
• Monitor customer purchase order schedules, follow up on missing documentation, and ensure purchase orders are received on time to prevent payment delays.
• Navigate customer invoicing portals and submit invoices accurately in accordance with individual customer requirements and payment procedures.
• Create, maintain, and update internal documentation related to collections, ensuring processes remain organized, accurate, and accessible to the team.
• Organize and prioritize collection activities, monitor outstanding tasks, maintain follow-up schedules, and take initiative to resolve issues efficiently.
• Work closely with the accounts receivable and operations teams to share information, coordinate solutions, and support the organization's financial objectives.

Requirements

• Excellent verbal and written communication skills, with the ability to express ideas clearly and professionally across email, phone, and video calls.
• A natural ability to work with customers, understand their concerns, maintain positive professional relationships, and approach sensitive payment conversations with tact.
• Strong critical-thinking skills and the ability to assess situations quickly, discuss issues confidently, and develop practical solutions independently.
• The ability to handle challenging conversations professionally, manage disagreements constructively, and maintain a customer-focused approach while pursuing payment objectives.
• Strong attention to detail and the ability to independently manage multiple accounts, prioritize tasks, track outstanding payments, and maintain consistent follow-up.
• A proactive, inquisitive mindset, with the confidence to investigate issues, identify opportunities for improvement, and take ownership of responsibilities without relying on scripts or constant supervision.
• Previous experience in accounting, accounts receivable, or collections is highly desirable but not required.
• The ability to read and interpret invoices, purchase orders, and contracts is an advantage.
• Familiarity with collaborating with remote colleagues, communicating through digital tools, and managing an independent work schedule is considered an asset.
• Candidates must be based in Canada and legally authorized to work in the country.
