Executive Administrative Assistant

Job Description:
- Perform administrative duties to support Director and/or large staff
- Determine which requests need to be handled by supervisor or team member
- Schedule meetings, appointments and maintain calendars
- Arrange and prepare materials for staff and other meetings
- Take notes and minutes in meetings
- Prepare communications and documents, such as memos, emails , invoices and other correspondence
- Research and book travel arrangements for staff members
- Complete expense reports Respond to procedural requests
- Create and maintain a filing system Process and distribute incoming email
- Generate and analyze reports, if applicable
- Perform other duties as assigned to meet the business needs or customer requirements
- Answer and route phone calls.
- Greet visitors professionally.
- Manage calendars and schedule meetings.
- Draft/edit correspondence, memos, emails, invoices, and other documents.
- Coordinate executive travel.
- Prepare expense reports.
- Maintain the existing filing system.
- Distribute reports, mail, and other communications.
- HS Diploma or Equivalent - Required
- Bachelor's Degree - Business or related field - Preferred
- Redlining in Word
- 2-4 years administrative experience
- Excellent interpersonal and communication skills (oral and written) necessary to effectively interact with customers and co-workers
- Intermediate to advanced computer skills (Word, Excel, PowerPoint)
- Ability to multi-task and work in a fast-paced environment
- Shift/Time Zone: 4 days in the office 10-2. Flexible on days worked. No remote hours
- Experience with document redlining/Track Changes in Microsoft Word (top priority).
- Comfortable supporting and interacting with senior leadership, including CEOs, CFOs, Directors, and other executives.
