Reports To: HR Operations Manager

The opportunity:
The Clerical Assistant provides vital day-to-day administrative and clerical support to the Human Resources team. This role serves as the first point of contact for employees and visitors, manages essential personnel documentation, and ensures data integrity within our HR information systems. The ideal candidate must be highly organized, detail-oriented, and capable of handling sensitive, confidential information with the utmost discretion.

Key Responsibilities:
1. Front Desk & Customer Service
  • Greet employees, job applicants, and visitors with a welcoming and professional demeanor.
  • Answer, screen, and route incoming phone calls to the appropriate HR team members.
  • Respond to routine inquiries regarding employment verification, application statuses, and general HR policies.
2. Records Management & Data Entry
  • Maintain physical and digital personnel files, ensuring strict compliance with data privacy regulations.
  • Accurately enter and update employee information (e.g., new hire data, address changes, status updates) in the HRIS (Human Resources Information System).
  • Process, sort, and distribute incoming departmental mail and coordinate outgoing correspondence.
3. Onboarding & Recruitment Support
  • Assist the recruitment team by assembling new hire onboarding packets and scheduling interviews.
  • Coordinate background check paperwork and drug screening scheduling for incoming staff.
  • Help facilitate day-one check-ins, ensuring all mandatory tax, identity (I-9), and compliance forms are completed.
4. General Administrative Support
  • Monitor and replenish HR office supplies, tracking inventory and placing orders as needed.
  • Prepare meeting rooms, print agendas, and take minutes for departmental or committee meetings.
  • Assist with special HR projects, such as open enrollment periods, employee recognition events, or compliance audits.
Qualifications & Skills: Requirement Description Education High School Diploma or equivalent required (Associate's degree in Business or HR preferred). Experience 1-2 years of clerical or administrative experience, ideally in an HR setting or a fast -paced, high-volume office environment . Technical Skills Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with HRIS databases or data-entry platforms. Confidentiality Demonstrated ability to handle highly sensitive personal and medical data with strict confidentiality. Communication Strong verbal and written communication skills; comfortable interacting with diverse groups of employees and candidates.
