Administrative Aide III

Administrative Aide III

Pay Range: $17.19hr - $22.19hr

The Administrative Aide III is a high-level administrative position responsible for performing complex and confidential administrative, clerical, and operational support functions. The role involves coordinating schedules, managing office operations, supporting reporting activities, and assisting with departmental workflows while ensuring adherence to organizational policies and procedures.

Experience:

  • 24 years of office or administrative experience or equivalent relevant experience.
  • Experience performing administrative, secretarial, and clerical functions.
  • Experience supporting executive-level scheduling and coordination preferred.

Responsibilities:

  • Provide front office coverage and support daily administrative operations.
  • Support call queue operations and manage incoming service requests.
  • Assist with order intake and assignment through internal systems.
  • Monitor and manage planning inboxes and communication channels.
  • Schedule and coordinate service orders and work orders.
  • Support scheduling activities using WORKIT or similar systems.
  • Provide backup support for PAS and other administrative functions.
  • Generate and distribute management reports using tools such as Power BI.
  • Order office supplies and coordinate setup of office and computer equipment for new hires.
  • Set up meetings and coordinate executive and manager schedules.
  • Maintain confidentiality while handling sensitive organizational information.
  • Work on special projects as assigned.
  • Provide guidance and support to junior administrative staff when required.

  • Adaptability in a fast-paced environment.

Skills:

  • Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Advanced Excel skills including PivotTables and VLOOKUP.
  • SharePoint.
  • Adobe Acrobat.
  • Power BI reporting.
  • Office coordination and administrative support tools.

Qualification And Education:

  • High School Diploma required.
  • 24 years of office experience or equivalent relevant experience.
  • Relevant college coursework preferred.
