This role goes beyond day-to-day client support and requires a strategic approach to managing client needs, improving service processes, and supporting our financial advisory team in delivering best-in-class financial guidance. You will bring extensive experience in financial services, excellent relationship-building skills, and a commitment to improving the client experience at every interaction. This is a full-time, non-exempt role based out of our Walnut Creek, CA office. The hourly rate is $34.60- $35.58. Duties and Responsibilities Serve as an initial point of contact for clients, addressing inquiries and providing timely responses to their needs via phone and email. Assist with scheduling and coordinating client appointments, ensuring all logistics are handled efficiently and accurately. Process client requests, including transactions and paperwork, in line with firm policies and procedures. Assist in the onboarding process for new clients, ensuring a smooth and positive experience. Collaborate with custodians and internal teams to resolve client account issues, transfers, and general service requests. Support advisors with client-related documentation, ensuring all forms are complete, accurate, and submitted on time. Provide notary services for client transactions as required. Maintain up-to-date client records and help ensure accuracy and consistency across internal systems. Qualifications 2-5 years of experience in a client-facing administrative role within the financial services or related industry. BS/BA degree preferred; high school diploma or GED required. Strong communication skills with the ability to establish rapport with clients and colleagues. Experience with CRM systems and basic financial software (experience with custodial platforms is a plus). Knowledge of financial services industry practices, with familiarity in processing account transactions or client service inquiries. Strong attention to detail and accuracy in handling client records and transaction-related documents. Ability to multitask and manage competing priorities in a fast-paced environment. Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
