Job Description Job Description Location San Jose, CA Compensation $27.00 to $28.00 per hour Schedule Monday through Friday, 7:00 AM or 8:00 AM start Openings 2 positions: 1 Temp-to-Perm and 1 Temporary Contract Contract Duration Temporary opening expected to last approximately 3 to 4 months Job Summary The Certified Payroll Assistant will support payroll reporting for public works projects during a period of increased workload and system transition. The team is working through a more manual process and needs candidates who already have a basic foundation in certified payroll. This role requires accurate data entry, careful review, consistent follow-through, and the ability to meet recurring reporting deadlines. Position Structure Opening 1: Temp-to-Perm. This position is intended to become a long-term permanent role based on performance, attendance, ability to learn, and overall team fit. Opening 2: Temporary Contract. This position is expected to support the team for approximately 3 to 4 months while the workload remains elevated. The permanent opportunity is not tied to which candidate starts in a specific opening. The stronger overall performer may be selected for conversion. Key Responsibilities Enter, review, and maintain certified payroll data across multiple internal systems. Prepare and submit certified payroll reports through government portals for city and county public works projects. Verify payroll information for accuracy before submission and correct discrepancies promptly. Support compliance with prevailing wage requirements and applicable labor regulations. Coordinate with payroll and internal teams after each payroll cycle to complete required reporting. Maintain organized electronic records, shared-drive documentation, PDFs, and supporting payroll files. Use DIR systems and other regulatory or government reporting platforms as required. Manage high-volume, repetitive data entry while meeting established deadlines. Ask questions when needed, follow established procedures, and independently manage assigned work. Required Qualifications At least a few months of hands-on certified payroll experience. Working knowledge of certified payroll reporting and prevailing wage concepts. Strong data entry skills with a high level of accuracy and attention to detail. Ability to navigate multiple systems, databases, web-based portals, PDFs, and shared electronic files. Proficiency with Microsoft Office and general computer applications. Strong organization, reliability, and ability to complete repetitive work consistently. Effective verbal communication and willingness to ask questions when clarification is needed. Reliable transportation and ability to work onsite in San Jose. Preferred Qualifications Certified payroll experience supporting Bay Area city or county public works projects. Experience with union payroll, construction payroll, or prevailing wage compliance. Previous contract, project-based, or high-volume payroll experience. Additional Information Occasional overtime may be required, including possible Saturdays during peak reporting periods. Professional office environment with business casual attire. The temporary assignment may be adjusted based on workload and business needs.
