Administrative Support Position

Job Summary
This position provides a wide range of administrative support to administration, staff, students, and parents. Responsibilities include assisting the athletic secretary, assisting with attendance, coordinating student discipline, entering and formatting data, maintaining records. Duties are performed in the school main office and library.
Duties and Responsibilities
This list of essential functions is not exhaustive and may be supplemented as necessary in consultation with the employee(s) involved. Duties may vary from position-to-position or school-to-school based on the employee(s) specific assignment.
- Acts as designee for tracking and coordinating student detention and other disciplinary consequences; receives disciplinary infractions from staff; coordinates detentions and athletic suspensions; communicates with parents related to students' assigned discipline and detention schedule; maintains all student discipline records.
- May assist the athletic secretary with paperwork required for student participation in athletics prior to each season; receives forms, checks documents for accuracy, and inputs data; contacts students and/or parents as necessary to ensure documentation is complete; communicates with coaches regarding athlete's eligibility.
- May maintain database of parent volunteers on campus and/or assisting in athletics; ensures proper background clearances have been met.
- Provides secretarial support in the school office including word processing, data entry, filing, and copying. Composes, formats, edits, and types correspondence, reports, forms, notices and other related materials using Excel, Word, and other computer software programs; arranges and maintains hard copy files; performs administrative tasks for administrators, staff, and students as necessary. Also provides support to the attendance office when assigned.
- Provides back up coverage for the main office secretary; greets students, staff, and visitors entering the office; answers phones and responds to inquires; may receive and distribute mail; may assist the office manager.
- Instructs staff in the use of printers, copiers, and related equipment; helps maintain office equipment; and equipment problems. May assist staff and students with printing and copying needs.
- Coordinates and completes special projects as assigned. (e.g. updates the annual Student Handbook).
- May assist in the health room as necessary
- Performs related duties consistent with the job description and employee assignment.
Reports to Building Administrator.
Working Conditions
Works in a school setting and office environment; frequent interruptions; daily exposure to visual display terminal; may be required to sit or stand for prolonged periods; requires dexterity; requires ability to lift or carry up to 30 lbs; occasionally deals with parents, students or staff in conflict situations.
Minimum Qualifications
Education and Experience
High school graduation or equivalent with two or more years of office experience involving computer skills; experience working with adolescents and the public; school district work experience preferred.
Allowable Substitution
Training in computer operation, secretarial procedures, data entry and/or customer service may substitute on a month-to-month basis for one year of required office experience.
Knowledge, Skills, and Abilities
Knowledge of general secretarial procedures; knowledge of correct grammar, spelling, and English usage; ability to operate office equipment and computers; ability to maintain confidential information and records; ability to organize and set priorities; ability to work independently with minimal supervision; ability to read, speak, write, and compute effectively; ability to exercise independent judgment, remain flexible, and work effectively under pressure; ability to interact with adolescents and parents in a warm, caring, and confident manner; ability to establish and maintain effective working relationships with staff and the public.
Salary
Salary is based upon the current 2025-26 NEOPA Salary Schedule Salary (Level F); placement on the salary schedule will be determined by Human Resources DOE. FLSA Non-Exempt. Steps 10, 12, and 15 are longevity steps.
Work Year
195 days per year, 3.0 hours per day
