Administrative Assistant
The Advancement Office seeks a highly organized and detail-oriented Administrative Assistant to support scholarships, alumni engagement, donor stewardship, advancement activities, and event logistics; perform routine data entry and record maintenance in Raiser's Edge NXT and AcademicWorks; prepare correspondence and reports; maintain accurate alumni, donor, scholarship, and constituent records; and serve as a liaison to students, alumni, donors, community partners, and internal College stakeholders.
Responsibilities/Duties
- Maintain departmental electronic and physical filing systems.
- Proofread and distribute routine correspondence and reports.
- Maintain alumni, donor, scholarship, partner, and departmental records with confidentiality.
- Perform routine data entry and record maintenance in Raiser's Edge NXT and AcademicWorks.
- Conduct routine data-quality checks and assist with correcting incomplete or duplicate records.
- Support scholarship application, review, selection, and notification cycles.
- Support alumni newsletters, mailings, surveys, invitations, and communications.
- Assist with alumni, scholarship, donor, community and BCCC Foundation activities and events.
- Process donor acknowledgments, thank-you correspondence, and stewardship mailings.
- Support donor stewardship and scholarship impact reporting.
- Provide responsive customer service to internal and external stakeholders.
- Perform other related duties as assigned.
Required Qualifications
Education
- Associate's degree in Business or related field.
Experience
- Minimum of four (4) years of administrative, office, program, or related professional support experience.
- Experience performing data entry, database maintenance, recordkeeping, and document management.
- Experience with correspondence, meetings and events.
- Experience providing customer service to internal and external stakeholders.
Preferred Qualifications
- Experience working in higher education, nonprofit, advancement, development, scholarships, alumni relations, or a related environment.
- Experience using Raiser's Edge NXT or another constituent relationship management (CRM) system.
- Experience using AcademicWorks/Blackbaud Award Management or another scholarship management system.
- Experience assisting with reports, spreadsheets, mail merges, and database-generated correspondence.
- Familiarity with FERPA, donor confidentiality, data privacy, and records-management practices.
Knowledge, Skills, & Abilities
- Excellent communication skills, both orally and in writing.
- Strong experience with Microsoft Office, and specialized applications for word processing, spreadsheets, relational databases, graphics packages, and assembling, manipulating and/or formatting data and/or reports.
- Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills.
- Demonstrated attention to detail and commitment to data accuracy.
- Proficiency with Microsoft Office/Microsoft 365, including Word, Excel, Outlook, and Teams.
- Ability to maintain confidential and sensitive student, donor, alumni, and institutional information.
- Ability to work independently while effectively supporting a collaborative team.
