Administrative Assistant


Position: Administrative Assistant Employment Type: Full-Time Reports To: Office Manager / Operations Director

About the Role


We are seeking a motivated, dependable, and detail-oriented Administrative Assistant to join our growing team. This is a dynamic, multi-faceted role ideal for someone who thrives in a fast-paced environment, enjoys working with people, and takes pride in keeping operations running smoothly. Key Responsibilities


Front Office & Customer Relations

  • Serve as the first point of contact - answer and direct incoming phone calls in a professional and courteous manner
  • Warmly greet and assist customers, clients, and visitors upon arrival
  • Maintain a welcoming and organized front office environment
Customer Onboarding
  • Guide new customers through the onboarding process, ensuring a smooth and positive experience
  • Prepare and distribute onboarding materials and documentation
  • Coordinate with internal teams to ensure seamless client transitions
Recruiting Support
  • Assist with posting job openings and screening incoming applications
  • Schedule interviews and coordinate communication between candidates and hiring managers
  • Maintain applicant tracking records and recruiting files
Sales & Marketing Support
  • Assist the sales team with outreach, follow-up communications, and lead tracking
  • Help prepare marketing materials, presentations, and campaign coordination
  • Support social media updates, email campaigns, and other promotional activities as needed
General Administrative Duties
  • Manage calendars, schedules, and correspondence
  • Maintain accurate filing systems and records (digital and physical)
  • Order and track office supplies and assist with day-to-day operational needs
Qualifications


Required:

  • High school diploma or equivalent; associate's or bachelor's degree preferred
  • Proficiency in the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams)
  • Strong written and verbal communication skills
  • Excellent organizational and multitasking abilities
  • Professional, friendly demeanor with a customer-first mindset
  • Consistent attendance and punctuality are non-negotiable - dependability is a core expectation of this role
Preferred:
  • Prior administrative, customer service, or office support experience
  • Familiarity with CRM platforms or applicant tracking systems
  • Experience supporting sales, marketing, or HR functions
