Maintains timely entry and scanning of invoices and Payment Authorization vouchers. Resolves invoice problems, including same-day correction of wrong vendor paid and next-day correction of wrong vendor paid. Runs MAS4 reports weekly to clear outstanding invoices before month end. Maintains and updates the Payment Authorization Voucher signature book. Performs various administrative duties to ensure smooth operation of the department, such as emptying full A/P batch storage drawers and filing batches daily. Adds new vendors to MA03 and mails out “enclosure” checks. Sorts and distributes “hold” checks and sends correction copies back to Office Managers. Scans W9’s and cross-trains on other A/P duties. Makes copies of all corrections made each day to invoices and PAV’s and provides copies to A/P Supervisor. Knowledge, Skills, and Abilities: Familiarity with Generally Accepted Accounting Principles. Needs to have a complete understanding of double entry accounting and needs an operational understanding of routine accounting functions.
