Executive Administrative Assistant - Bilingual In SpanishBanking/Financial ServicesLocation: New York, NY (270 Park Avenue) Pay Rate: $43.57/hr W2 Duration: 5 Months Schedule: Monday – Friday | 40 Hours/Week Work Arrangement: 100% Onsite (No Remote/Hybrid Option)Position OverviewWe are seeking an experienced Executive Administrative Assistant to provide high-level support in a fast-paced corporate environment. The ideal candidate will be highly organized, detail-oriented, proactive, and fluent in Spanish. This role requires extensive calendar management, travel coordination, expense processing, and executive support.Key ResponsibilitiesManage complex executive calendars, scheduling meetings and resolving conflicts proactivelyScreen incoming calls and correspondence, exercising sound judgment and discretionCoordinate internal and external meetings, including logistics and schedulingArrange complex domestic and international travel, including visa procurement and itinerary managementOrganize internal and external events, including catering, transportation, and meeting logisticsProcess invoices and expense reports through Concur while ensuring compliance with company policiesSupport employee onboarding and offboarding, including equipment requests and system access coordinationDraft and distribute professional emails and communications to stakeholders at all levelsMaintain organizational charts, executive biographies, and departmental documentationAnticipate needs, manage priorities independently, and communicate potential issues proactivelyAssist with preparing presentations, spreadsheets, reports, printing, and binding materials for executive and client meetingsWelcome and assist visitors and clients as neededRequired Qualifications6+ years of Executive Administrative Assistant experience supporting senior leadersFluent Spanish language skills (Required)Strong calendar management and meeting coordination experienceExperience arranging complex international travel and obtaining visasProficiency with Concur expense managementAdvanced Microsoft Office skills, including Outlook, Excel, PowerPoint, and WordExcellent organizational skills with strong attention to detailProfessional communication and interpersonal skillsAbility to work onsite five days per weekPreferred QualificationsExperience supporting executives in large corporate environmentsStrong client-facing experienceAbility to manage multiple priorities with minimal supervisionTop Qualities for SuccessSpanish-speakingHighly organized with exceptional attention to detailPositive, proactive, can-do attitudeImportant NotesFully onsite position – candidates seeking hybrid or remote arrangements will not be consideredThis role is covering a maternity leave and is not expected to convert to a permanent positionOccasional work outside normal business hours may be requiredContract extension is possible but not guaranteed
