Senior Executive Assistant

Responsibilities Calendar management for two executives, scheduling internal/external meetings, resolving conflicts, exercising judgment in prioritizing and escalating. Provide backup coverage to other assistants, assist managers’ calendars, collaborate on administrative projects. Relationship management as trusted gatekeeper and liaison with internal and external stakeholders, developing strong connections across teams, clients, and vendors. Ownership of day‑to‑day tasks: time entry, mailings, expense reports. Coordinate travel arrangements, conference rooms, video/conference details, IT support, security badges, and all meeting logistics. Work with executives/admins to edit, format, prepare presentations, ensure proper distribution channels, maintain confidentiality, print/bind presentations, facilitate secure information flow. Organize team‑building events, employee engagement, off‑site planning. Field inquiries, respond to employee questions, ensure timely response to urgent issues. Handle ad hoc errands, requests, and special project assignments. Opportunity to support executive and project manage internal/client projects. Qualifications & Requirements 3-4 years administrative experience supporting multiple individuals and frequent interaction with C‑level executives; finance experience is a plus. Excellent judgment, resourcefulness, discretion and ability to protect confidential information. Exceptional organization and time‑management skills with great attention to detail. Positive, collaborative attitude; assertive yet flexible. Highly reliable, responsible, responsive. Ability to interact with senior leaders at all levels in a fast‑paced environment, remaining flexible, proactive, and efficient. Effectively manage simultaneous projects, prioritize, multi‑task, and exercise sound judgment; comfortable executing tasks with minimal direction. Demonstrates emotional intelligence and strong communication skills. Bachelor’s degree preferred. Proficient in PC, Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Pay Information This position is exempt and is paid according to the laws of the State of New York. The pay range for this position is $88,000 – $121,000 USD per year. Physical Requirements This position requires the physical capabilities to work in an office environment, including prolonged periods of sitting and computer work. The position may require lifting up to 15 pounds and requires onsite work 4 days per week. Eligibility Requirements Must be 18 years of age or older, have unrestricted work authorization in the United States, and be willing to execute the required agreements.
