Position Summary:

We are seeking a detail-oriented and highly organized Accounts Payable & Finance Specialist to support our day-to-day accounting operations in a hybrid work environment. This role is responsible for invoice processing, payment scheduling, vendor relations, reconciliations, and providing cross-functional support to Payroll during payroll cycles. The position also assists with annual financial audits and ad hoc projects within our Finance team.

The ideal candidate is dependable, proactive, and highly organized, with strong communication skills and a solid working knowledge of Microsoft Excel. This role serves as a key point of contact for vendors, customers, and internal stakeholders regarding invoice status, discrepancies, payment timelines, and data verification, including timesheets and payroll-related data.

Accounts Payable Operations

• Accurately process, code, and enter invoices in a timely manner.
• Schedule vendor payments in accordance with due dates and company cash-flow guidelines.
• Ensure all invoices receive proper approvals and supporting documentation.
• Maintain accurate and up-to-date vendor records and files.
• Monitor outstanding invoices and follow up with vendors as needed.

Vendor & Customer Communication

• Serve as the primary point of contact for vendors regarding invoice status, missing information, and discrepancies.
• Request and review vendor statements, credits, and supporting documentation.
• Communicate with customers regarding past-due invoices, payment delays, and required clarifications in a professional manner.

Reconciliations

• Perform weekly and monthly reconciliations for Accounts Payable and vendor statements.
• Complete credit card reconciliations (e.g., American Express and other corporate cards), ensuring accurate coding and documentation.
• Identify variances and collaborate with internal teams to resolve discrepancies promptly.

Organization & Administrative Support

• Maintain well-organized digital and physical Accounts Payable records.
• Assist with month-end close activities.
• Provide support for audits, payroll periods, and other accounting or administrative tasks as needed.

Payroll Support

• Reviews, verifies and approves employee timecards; Notifies & follows up with (Supervisor, Manager, Director "SMD") SMD if approvals (or corrections) have not been processed within the given due date for the period.
• Troubleshoots and resolves payroll discrepancies, providing guidance and assistance on payroll related matters.
• Perform data entry for documents received from Human Resources into HRIS (e.g. direct deposit, w4, etc.)
• Complete Verification of Employment (VOE) requests provided by Human Resources.
• Enter and Update employee garnishments issued by Local, State and/or Federal Gov't.
• Update LOA Deductions for Voluntary Benefits.
• Communicates with UKG to create, troubleshoot and resolve support tickets.
• Ensures compliance with federal and state payroll wage and hour laws
• Collaborates with HR on benefits data to ensure accuracy of deductions and reimbursements

Required Skills & Qualifications

• 13 years of Accounts Payable or related accounting experience (or equivalent).
• Strong proficiency in Microsoft Excel (VLOOKUP/XLOOKUP and pivot tables preferred).
• Excellent written and verbal communication skills.
• Strong organizational skills with the ability to prioritize tasks and meet deadlines.
• High attention to detail and accuracy.
• Experience with accounting software is a plus.

Preferred Qualifications

• Experience reconciling corporate credit cards and expense reports.
• Familiarity with invoice approval workflows and automated AP systems.
• Ability to efficiently manage a high volume of invoices in a fast-paced environment.
