Accounting Assistant

We are seeking an Accounting Assistant to support our accounting operations at our Van Nuys, CA office. This role is primarily focused on accounting and project-related financial support with secondary responsibility for general office coordination. Position Summary The Accounting Assistant plays a key role in supporting day-to-day accounting and project administration functions. This position is responsible for maintaining accurate financial records, supporting project-related transactions, and assisting with accounts payable and collections activities. The role also provides limited front office and administrative support as needed to ensure smooth office operations. Accounting Enter and convert bids into active projects within Navision Set up new jobs and maintain project documentation in ERP system Process and track project-related financial transactions Maintain accurate job cost data and support project financial tracking Assist with accounts payable processes, including invoice tracking and coding Support collections efforts through follow-up and documentation management Maintain compliance documentation, including certificates of insurance (COIs), preliminary notices, and W-9s Post and track weekly inventory usage Assist in preparing reports for weekly sales and project meetings Cross train with Senior Accounts Payable to support departmental needs Office Coordination (Secondary) Answer and route incoming phone calls Manage incoming and outgoing mail, courier, and shipping needs Order and maintain office supplies and inventory Coordinate travel arrangements and meetings as needed Assist with general office upkeep, including shared kitchen areas Provide additional administrative support to the team as needed Qualifications 2+ years of accounting, bookkeeping, or AP/AR experience required Understanding of basic accounting principles required Associate’s or Bachelor’s degree in Accounting or Finance preferredExperience with accounting or ERP systems (e.g., Navision) preferred Construction or project-based accounting exposure preferred Strong attention to detail and organizational skills Ability to manage multiple priorities in a fast-paced environment Proficiency in Microsoft Excel and Word Strong written and verbal communication skills Positive, team-oriented attitude with a willingness to support office needs as required Occupational Health and Safety Compliance with workplace policies and procedures for risk identification, risk assessment and risk control Active participation in activities associated with the management of workplace health and safety Identification and reporting of health and safety risks, accidents, incidents, injuries and property damage at the workplace Working Conditions Physical surroundings : Office environment with typical office machines and exposure to noise and temperature. Physical Effort : Extensive sitting, standing, walking. Repetitive keying, typing. Occasional lifting not to exceed 25 pounds. Travel : None. Hours : Monday- Friday 8:00am-5:00p. Starting pay rate of $28-$32/hr based on experience.
