Program Coordinator

Position Summary The Program Coordinator – Local and Global Health plays a key role in supporting Partners for World Health (PWH)’s Global and Local Health pillar programs by redistributing surplus supplies to communities in need and deploying healthcare workers to support those communities. The Program Coordinator does this by receiving, efficiently responding to, and processing requests for medical supplies at the individual, community and container/freight level, receiving payment, maintaining accurate records and contributing to data analysis, as well as on-boarding participants for Medical Service Trips. The Coordinator role collaborates with all departments to help achieve humanitarian service and financial goals of Partners for World Health. Essential Duties & Responsibilities Medical Supply Program (MSP): Accurately and promptly process customer orders for medical supplies, ensuring timely fulfilment and adherence to quality standards Maintain organized records of all incoming requests and completed transactions, utilizing tracking systems to ensure transparency and accountability Schedule and manage appointments with customers, providing clear communication, and accommodating their needs to support a seamless purchase experience Generate invoices and record payments using multiple systems, ensuring accuracy in billing and compliance with internal protocols Global Programs: Shipments Coordinate the annual portfolio of global shipments of medical equipment and supplies from point of initial request or onset of partnership with accuracy, compliance, and timely delivery Develop shipment paperwork from proposed inventory lists to final cargo freight documents in collaboration with internal teams and external partners based on identified needs, available resources and respective compliance requirements Assist in the collection, organization, and analysis of shipping and financial data to support reporting, budgeting, and planning processes Collaborate across departments to improve logistical efficiency and support overall operational goals Medical Service Trips (MSTs) Assist in the recruitment and onboarding of participants and pre-departure logistics of PWH’s Medical Service Trips Qualifications Education: Bachelor’s Degree in a business, public health, healthcare administration, or a related field, or equivalent relevant experience. Exposure to global health or international programs is preferred. Experience: 1-2 years of demonstrated program coordination experience in a client- or patient-facing non-profit or humanitarian organization Strong problem-solving and project management skills Excellent communication and organizational skills Highly organized, detail oriented, self-motivated, and enthusiastic about mission-driven work A positive, professional, and friendly demeanor A team player who can collaborate effectively across departments Proficiency in Microsoft Office Suite Familiarity with CRM and project management tools preferred Working Conditions Office-based work environment with some light warehouse environment work; position is eligible for one day per week remote work at manager’s discretion Ability to lift up to 50 lbs to assist with loading equipment and supplies into a customer’s vehicle Valid, clean driver’s license with valid insurance for local travel between warehouses #J-18808-Ljbffr Maine Tasting Center
