The Senior Legal Executive Assistant will provide the highest level of administrative support, client support and practice coordination. This role will be responsible for coordinating and tracking deadlines and deliverables, court filings, and all aspects of the partner's practice. This role will work closely with practice management and other teams and, at times, provide additional support on broader projects as needed.
This role reports to the Legal Administrative Services Manager and Director of Administration, taking daily direction from the assigned partner.
Responsibilities include:
- Demonstrating ability to move beyond the transactional (calendar management, expenses, travel) to focus on the strategic. For example, actively managing a partner's email inbox, coordinating and tracking deadlines and deliverables, and strategic business travel planning.
- Collaborating closely with assigned partner to effectively manage and "quarterback" the day-to-day coordination of the partner's practice.
- Liaising regularly with other firm departments (Marketing, Finance, Conflicts, etc.) to ensure the smooth operation of the partner's business.
- Flexibility and commitment to work outside of business hours and on weekends required.
- Managing a broad range of complex administrative duties, such as scheduling meetings, preparing reports and meeting materials, furnishing information, responding to routine correspondence, assisting with technical support, processing expense reports, and answering telephone calls.
- Managing client onboarding, billing, and relationship management activities.
- Organizing complex domestic/international travel arrangements, with detailed itineraries both personal and professional. Coordinating flights, hotel accommodations, car service, visas, dining reservations, etc.
- Assisting and supporting the creation of internal and external presentations including but not limited to client presentations and department report-outs.
- Coordinating and assisting with internal and external information and research gathering to support meetings and events.
- Serving as a liaison to other firm departments, and external stakeholders, when necessary, to promote and coordinate new or existing projects and events.
Qualifications:
- Continual attention to detail in composing, typing, and proofing materials, establishing priorities and meeting deadlines.
- Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
- Exceptional verbal and written communication and people skills, with the ability to collaborate effectively with diverse stakeholders and clients.
- Collaboration and facilitation skills to work with various departments and facilitate their ability to work with each other.
- Exhibit high degree of initiative and critical-thinking skills in exercising independent judgment and making decisions in managing multiple priorities in a fast-paced, deadline-driven, detail-oriented work environment.
- High level of adaptability and flexibility.
- High level of integrity and discretion in handling confidential information.
- Self-starter with demonstrated instances of taking initiative.
- Creative thinker who is resourceful and anticipatory of the needs of their assignments.
- Ability to work overtime as necessary.
Experience:
- Bachelor's degree preferred
- 5+ years relevant experience required, preferably in a professional services environment
- 2+ years of experience supporting partners in leadership roles. Experience working with litigation partners or teams preferred.
- Highly skilled in Microsoft Office Suite
Gibson Dunn will consider for employment qualified Applicants with Criminal Histories in a manner consistent with the requirements of local law.
The annual compensation range for this position is $150,000 - $175,000. The salary offered within this range will depend upon qualifications and other operational considerations.
