Deputy Clerk

District of Columbia Courts

Summary

The Deputy Clerk works in the divisions of the Superior Court of the District of Columbia and is responsible for providing administrative and clerical support in an office setting.

This announcement will create a 6 month roster for Superior Court Deputy Clerk vacancies.

The starting salary will be a Grade 6 unless you are currently in the Federal or DC Government and considered a transfer. If you previously applied for a Deputy Clerk posting, you must reapply for consideration.

Duties

Help

The Deputy Clerk will be expected to perform the following duties in a timely and competent manner: exercise sound judgment; work independently and cooperatively; and communicate clearly and courteously.

  • Greets customers, provides basic information, and shares relevant resources.
  • Responds to inquiries regarding procedural information about cases, proper completion of court forms, and court rules, procedures, and processes.
  • Answers incoming phone calls and responds to chat line, video, and email inquiries as assigned and where appropriate.
  • Monitors cases from initiation to final disposition in accordance with established procedures and designated timelines.
  • Receives and processes initial and subsequent filings in accordance with applicable business processes and standard operating procedures, routes filings to appropriate office or work queue.
  • Reviews, enters, and updates data in the Superior Court case management system to ensure accuracy, efficiency, and consistency in compliance with time standards.
  • Assists in maintaining court calendars by scheduling hearings according to procedures and processes.
  • Administers oaths and affirmations in accordance with established procedures and processes.
  • Manages case dockets including monitoring overdue or missing documents, files, exhibits, or records.
  • Opens, reviews, sorts, and processes or distributes incoming mail; processes outgoing mail.
  • Processes checks, money orders, and electronic or cash payments or fees and prepares financial transaction receipts; prepares end-of-day report and balances daily receipts to ensure correct reporting.
  • Reviews judicial orders to ensure that instructions to the Clerk's Office are carried out appropriately.
  • Prepares correspondence, forms, or other documents such as notices, orders, certificates, warrants, and writs in the appropriate format, style, and content as established by business processes and standard operating procedures.
  • Creates and certifies copies of the official record in all matters where certification is necessary.
  • Performs special assignments, projects, and other duties as assigned; and
  • Provides coverage for other divisions and offices as needed.

A probationary period of one year (1) is required for all new court employees.

Qualifications

Minimum Qualifications: High-School Diploma or GED plus two (2) years of clerical or administrative experience in a court, legal or office environment.

You MUST provide documentation of education, or your application will not be considered.

Attention to detail and the ability to multitask are required.

Proficiency in the use of technology, including Microsoft Office Suite and Adobe, is required.

Please note that authorization for the release of your adult criminal record revealing any convictions and forfeitures, and any criminal cases currently pending before the courts, is required. If you are selected for the position, a criminal history records check will be conducted.

Education

To qualify based on education, upload a copy of your high school diploma, college transcript, or degree. The transcript must show the name of the college or university, your name, a list of courses with credit hours, major(s), and grade-point average or class ranking.

This job is being filled by an alternative hiring process and is not in the competitive Federal civil service.

Please note that there is a mandatory one-year probationary period for all new court employees.

This is not a federal position.

The District of Columbia Courts is an independent branch of the District of Columbia Government and is not under the authority of the City Mayor or the D. C. Council. DC Courts' appropriation comes directly from Congress. All DC Courts non-judicial employees receive federal benefits for the following programs: Life Insurance, Retirement Benefits, Health Insurance and Workers Compensation.

Annual Leave: New full-time employees earn four (4) hours of annual leave biweekly. After three years of service this increases to six (6)hours biweekly, and at 15 years it increases to eight(8)hours biweekly. Most military, federal and District of Columbia government service counts toward the time required to go into the next higher annual leave category. Employees can carry over no more than 240 hours of annual leave into the next leave year.

Sick Leave is used for personal medical needs, care of a family member, or adoption related purposes. Full-time employees earn four(4)hours of sick leave biweekly. This leave can be accrued without limit.

In addition to the federal health plans, the DC Courts offer employees supplemental vision and dental plans as well as a commuter transit benefit subsidy, for a maximum of $150 a month. There are 26 pay periods in the year.
