Job Overview:
The Senior Accountant supports the finance function for Amaterra Winery and Amaterra Kitchen and Social Club in Bend, with responsibility for the month-end close, account reconciliations, and financial reporting schedules, together with accounts receivable, cash and banking, and deferred revenue for event deposits and wine club. The role also supports winery inventory and cost accounting, and owns the alcohol beverage regulatory compliance calendar, including TTB and state reporting, excise and wine shipment tax filings, direct-to-consumer licensing, and label registrations. Ad-hoc projects will be assigned as required.

Essential Duties & Responsibilities:
Month-End Close & Financial Reporting
• Assist with month-end, quarter-end, and year-end close processes
• Prepare journal entries, accruals, and account reconciliations
• Perform balance sheet analyses and investigate reconciling items
• Process account reclassification requests and maintain supporting documentation
• Assist with variance (flux) analysis and financial reporting schedules
• Support intercompany accounting, including reconciliations and elimination entries
• Prepare monthly financial reports for management
• Prepare audit schedules and support internal and external audit requests
• Maintain compliance with internal controls, accounting policies, and procedures
Cash, Banking & Accounts Receivable
• Perform bank reconciliations and assist with cash reporting activities
• Process and record daily cash, check, credit card, and electronic payments, and prepare bank deposits
• Own the accounts receivable cycle for both properties, including invoicing, application of payments, aging review, and collections follow-up
• Reconcile merchant credit card settlements and perform chargeback analysis
• Maintain cash receipt controls and audit tasting room and restaurant cash handling procedures
• Assist with bank compliance reporting and other lender reporting requirements
Revenue, DTC & Deferred Revenue
• Reconcile daily sales from the direct-to-consumer, point of sale, and event management systems to the general ledger
• Support direct-to-consumer accounting activities, including payment reconciliations and chargeback analysis
• Support wine club and eCommerce accounting processes
• Maintain deferred revenue schedules for event and wedding deposits, recognizing revenue as events occur
• Maintain wine club deferred revenue and prepayment schedules, and reconcile club billing runs to the general ledger
• Process customer credits, distributor returns, product returns, and related inventory adjustments
• Assist with wholesale and distributor account reconciliations
• Investigate and resolve daily revenue and settlement variances with department managers
Winery Inventory Accounting
• Maintain accurate perpetual inventory records for bulk wine, bottled wine, kegs, dry goods, packaging materials, and merchandise
• Reconcile inventory between the accounting system, the direct-to-consumer platform, and physical inventory counts
• Investigate inventory variances and recommend corrective actions
• Process inventory adjustments including breakage, samples, losses, dump records, and transfers
• Provide inventory data and reconciled balances to support inventory valuation and cost of goods sold
• Assist with annual inventory counts and cycle counts, and maintain documentation supporting inventory and financial audits
Production & Operational Support
• Assist with harvest accounting, grape purchases, grower settlements, and vineyard expenses
• Track inventory movements between warehouses, tasting room, and restaurant locations
• Assist with inventory setup for new vintages, releases, kegs, and special projects
Fixed Assets, Capital & Planning Support
• Maintain fixed asset records, including additions, disposals, and depreciation
• Support capital expenditure accounting, including capital expenditure request tracking, budget monitoring, and reporting
• Assist with budgeting, forecasting, and cash flow reporting
Wine & Alcohol Beverage Compliance
• Own the compliance calendar and tracker covering all licenses, permits, bonds, and tax filing obligations, with due dates and renewal dates
• Prepare and file TTB reports, including the Report of Wine Premises Operations and federal excise tax returns, reconciled to production and inventory records
• Prepare and file state excise, sales and use, and wine shipment tax reports on monthly, quarterly, and annual cycles, both manually and through the compliance platform
• Confirm that auto-filed returns are submitted and accepted, and update the tracker accordingly
• Manage direct-to-consumer license renewals across all shipping states, and support new license applications by gathering documentation, obtaining signatures, and tracking submissions through approval
• Prepare, submit, and maintain label registrations, renewals, and state brand registrations
• Set up and maintain new products, brands, and shipping states in the compliance platform
• Monitor sales tax reporting and exemptions
• Serve as the primary point of contact with state and federal regulatory agencies, and escalate deficiency notices and deadline risks to the Area Director of Finance
Experience:
• Bachelor degree in Accounting, Business, or equivalent work experience
• Three or more years of accounting experience preferred
• Winery or alcohol beverage experience strongly preferred, including inventory accounting
• Experience with alcohol beverage compliance filings and licensing preferred
• Familiarity with wine industry direct-to-consumer and compliance platforms such as Commerce7 and ShipCompliant a plus
• Experience with restaurant point of sale and event management systems a plus
• Strong Microsoft Office skills including Word, Excel, and Outlook, with extensive use of Excel for data manipulation
