RADEIN Advisors LLC is a bespoke managed service provider providing highly specialized network, fiber, security, access control, and A/V systems to clients nationally. As we continue to grow, we are seeking an organized and proactive Executive and Operations Assistant to aid our team and support our leadership in day-to-day operations. This role is critical to maintaining smooth operations, and consists of managing schedules, being responsive to assigned tasks, proactive in identifying issues, and handling key financial processes in QuickBooks.

 

Successful candidates in this role are mid-level, experienced workers who are effective immediately in administrative and basic bookkeeping tasks with a strong desire to grow over time.

 

RESPONSIBILITIES

  • Manage leadership members’ calendars, scheduling and aid in coordinating appointments and meetings
  • Answer and route incoming calls, serve as a primary point of contact for clients, vendors, and/or field technicians
  • Actively listen for and respond to tasks, work orders, or formal/informal requests to assign, track, and ensure completion of various daily tasks
  • Issue purchase orders for materials and equipment, utilize an online inventory system to track quantity on hand (QOH) and track reorder points as needed
  • Manage and track open estimates, past due invoices, and miscellaneous expenses in QuickBooks
  • Maintain strong relationships with vendors and industry partners, pay invoices and open accounts as required
  • Maintain organized digital and physical files, including job documentation, vendor records, estimates, invoices, purchase orders, etc.
  • Maintain office organization, supplies, and refreshments to keep the workspace functional, tidy, and conducive to both group meetings, as well as in-person client and vendor meetings
  • Provide general administrative support, including correspondence, data entry, proofreading, etc.

 

QUALIFICATIONS

  • 5+ years of administrative support, office coordination, or operations support experience
  • Demonstrated proficiency in QuickBooks Online (or similar software), pertaining specifically to the creation of estimates, invoicing, expenses, purchase orders, and related AR/AP tasks
  • Comfortable in highly agile and fast-paced professional environments with shifting priorities (technicians, jobs, vendors, clients, etc.)
  • Excellent phone etiquette and professional communication
  • Strong organizational skills and ability to work independently
  • Strong knowledge of Microsoft 365 (Teams, Outlook, Word), advanced understanding of Excel. Experience with Zoho One or similar software preferred.
  • Previous experience with managed service provider, construction firm, or similar trade preferred
