Accounts Payable Specialist (White Plains)

Position Overview

Our client is seeking a hands-on AP Specialist to take ownership of the company’s AP function. This is a stand-alone AP role within Real Estate, responsible for the full AP cycle and processing invoices for 40+ properties. The ideal candidate is organized, tech-savvy, and comfortable working independently in an automated environment.

This is a small office, so culture fit is very important. The company is looking for someone who is professional, personable, dependable, and collaborative. The expectation is 5 days per week in the office, while understanding there will be times when working from home is necessary.

They are located within walking distance from Metro North (reverse commute friendly).

Responsibilities

• Manage the full Accounts Payable cycle for 40+ Real Estate properties.
• Process, code, and enter invoices accurately and efficiently.
• Ensure invoices are properly allocated to the appropriate property/entity.
• Review invoices, approvals, and supporting documentation.
• Handle vendor inquiries, discrepancies, and vendor setup/maintenance.
• Reconcile vendor accounts and AP records.
• Prepare and process payments.
• Work closely with property managers, accounting, and vendors.
• Utilize automated AP systems and identify opportunities to improve processes and efficiency.

Qualifications

• 3+ years of AP experience within Real Estate – required.
• Yardi experience strongly preferred.
• 4-year degree preferred.
• Experience handling AP for multiple properties.
• Ability to independently manage a stand-alone AP function.
• Highly tech-savvy with the ability to quickly learn new systems and software.
• Strong attention to detail and organizational skills.
• Excellent communication and problem-solving abilities.
• Professional, personable, and team-oriented.
• Comfortable working in a small, close-knit office environment.
• Proficiency with Excel and Microsoft Office.

Ideal Candidate

A self-sufficient Real Estate AP professional who can own the AP function, manage invoices across 40+ properties, and work efficiently with technology and automated processes. Yardi experience is a major plus, but just as important is finding someone who will be a great cultural fit and enjoy working as part of a small, collaborative team.
