Job Description

Position Summary

As a Proposal Manager, you will lead and manage the development of complex proposals and marketing responses for federal and commercial opportunities. You will work closely with technical staff, project managers, and the marketing team to develop compelling, accurate, and visually polished proposals that effectively communicate the company's qualifications, experience, and capabilities.

Our Proposal Managers work closely with colleagues across the organization to develop high-quality submissions, overcome challenges, and deliver proposals that meet both client requirements and company standards.
Key Job Functions

• Lead and manage the development of complex proposals, qualifications packages, and other responses to federal and commercial solicitations.
• Develop proposal schedules, work plans, and production timelines to ensure submissions are completed accurately and on time.
• Lead proposal kickoff meetings, review meetings, and production meetings; assign tasks and monitor progress throughout the proposal process.
• Coordinate with technical staff, project managers, subject matter experts, and marketing personnel to gather and develop proposal content.
• Write, edit, and organize project descriptions, staff resumes, technical narratives, and other proposal content.
• Review technical information and translate complex material into clear, compelling, and client-focused proposal content.
• Analyze solicitation requirements, evaluation criteria, instructions, and submission requirements to ensure compliance.
• Maintain proposal calendars and track deadlines, assignments, reviews, approvals, and final submissions.
• Coordinate internal reviews and incorporate feedback from technical staff, leadership, and marketing team members.
• Ensure proposals comply with client requirements, formatting standards, page limits, submission instructions, and deadlines.
• Maintain consistency in messaging, formatting, branding, and overall presentation in accordance with Hirani brand standards.
• Coordinate with graphic design and marketing resources to develop visually engaging proposal layouts, graphics, charts, organizational charts, and other supporting materials.
• Maintain and organize proposal content, resumes, project descriptions, boilerplate language, and marketing materials for future submissions.
• Identify opportunities to improve proposal processes, templates, workflows, and content libraries.
• Manage multiple proposals and competing deadlines while maintaining accuracy and attention to detail.
• Collaborate with team members at all levels and contribute to a supportive, professional, and results-oriented marketing environment.

Job Requirements

Qualifications

• Bachelor's degree in Marketing, Communications, Business, English, Architecture, Engineering, or a related field preferred.
• 8+ years of experience in the AEC industry.
• Demonstrated experience managing and preparing proposals, qualifications packages, and/or marketing responses.
• Experience working with federal and commercial solicitations strongly preferred.
• Strong understanding of proposal development processes, including compliance, scheduling, content development, reviews, and final production.
• Excellent written and verbal communication skills.
• Exceptional organization and time-management skills with the ability to manage multiple deadlines simultaneously.
• Strong attention to detail and commitment to accuracy.
• Ability to work effectively with technical professionals and translate technical information into clear, compelling content.
• Ability to work independently while collaborating effectively with multidisciplinary teams.

Technical Skills

• Proficiency in Microsoft Office Suite , particularly Word, PowerPoint, and Excel.
• Deltek Vantagepoint experience is preferred
• Proficiency with Adobe Creative Suite .
• Experience with proposal management, content management, or CRM platforms is a plus.
• Strong document formatting and editing skills.
• Experience with graphic design, proposal layouts, infographics, or other visual communication is a plus.

Salary: $90,000 - $95,000 Annually
