Clinical Office Assistant Job Description Template
Our company is looking for a Clinical Office Assistant to join our team.
Responsibilities:
- Schedule and track all client appointments using Center’s electronic record system;
- Maintain Center calendar and schedules;
- Maintain standard operating procedures in compliance with Center, University, State and Federal regulations;
- Supervision of undergraduate student workers (depending on qualifications);
- Maintain office equipment;
- Monitor and replenish inventory of office supplies and center needs;
- Distribute, track and monitor all testing kits;
- Oversee the efficient running of front desk/Center functions;
- Liaison with other University staff for the optimal functioning of the Center;
- Track accounts payable and accounts receivable (as needed);
- Other duties as assigned;
- Process mailings of clinical information;
- Register clients at the time of appointment, collect fees, and issue receipts; notify therapists of client arrival;
- Oversee and trouble shoot physical plant concerns;
- Classify, index, and oversee the maintenance of client records.
Requirements:
- Excellent problem solving and planning skills;
- 3 years+ experience in a medical/mental health office is necessary;
- Discretion and tact in handling confidential information;
- High school diploma or equivalent is required. Associates degree is;
- Proficient in Microsoft Word, Excel and Outlook;
- Excellent written and verbal communication skills;
- Must be detail oriented, accurate, and organized;
- Knowledge of HIPAA practices required.
