Our company is looking for a Clinical Office Assistant to join our team.

Responsibilities:

  • Schedule and track all client appointments using Center’s electronic record system;
  • Maintain Center calendar and schedules;
  • Maintain standard operating procedures in compliance with Center, University, State and Federal regulations;
  • Supervision of undergraduate student workers (depending on qualifications);
  • Maintain office equipment;
  • Monitor and replenish inventory of office supplies and center needs;
  • Distribute, track and monitor all testing kits;
  • Oversee the efficient running of front desk/Center functions;
  • Liaison with other University staff for the optimal functioning of the Center;
  • Track accounts payable and accounts receivable (as needed);
  • Other duties as assigned;
  • Process mailings of clinical information;
  • Register clients at the time of appointment, collect fees, and issue receipts; notify therapists of client arrival;
  • Oversee and trouble shoot physical plant concerns;
  • Classify, index, and oversee the maintenance of client records.

Requirements:

  • Excellent problem solving and planning skills;
  • 3 years+ experience in a medical/mental health office is necessary;
  • Discretion and tact in handling confidential information;
  • High school diploma or equivalent is required. Associates degree is;
  • Proficient in Microsoft Word, Excel and Outlook;
  • Excellent written and verbal communication skills;
  • Must be detail oriented, accurate, and organized;
  • Knowledge of HIPAA practices required.
