Responsibilities:
- Administer calls, messages and daily correspondence;
- Create and maintain an efficient documentation and filing system;
- Arrange deliveries, meetings & appointments, providing reminders;
- Prepare reports and briefs;
- Handle requests and queries appropriately;
- Organize efficient contact between the executives, clients & team members;
- Set boundaries, problem solve and build relationships.
Requirements:
- Solid experience with office management systems and procedures;
- Good knowledge of latest trends in office gadgets and applications;
- Strong planning and time management skills, with an ability to multitask;
- Advanced Microsoft PowerPoint and Excel;
- Strong communication (exceptional written, verbal and grammar skills);
- Ability to network internally to build relationships across team;
- Budget management experience;
- Excellent written and verbal communication skills;
- 5+ years’ administrative experience supporting at the executive level;
- Ability to manage and prioritize multiple project and tasks Discretion and confidentiality is a must;
- Advanced Microsoft Office (Excel, Word, PowerPoint, SharePoint, etc.);
- Basic project management skills;
- Organizational skills;
- 3+ years’ experience of working as Executive Administrative Assistant, Senior Executive Assistant or other relevant position;
- Proficiency in English & Spanish and in-depth knowledge of MS Office.
