Responsibilities:

  • Administer calls, messages and daily correspondence;
  • Create and maintain an efficient documentation and filing system;
  • Arrange deliveries, meetings & appointments, providing reminders;
  • Prepare reports and briefs;
  • Handle requests and queries appropriately;
  • Organize efficient contact between the executives, clients & team members;
  • Set boundaries, problem solve and build relationships.

Requirements:

  • Solid experience with office management systems and procedures;
  • Good knowledge of latest trends in office gadgets and applications;
  • Strong planning and time management skills, with an ability to multitask;
  • Advanced Microsoft PowerPoint and Excel;
  • Strong communication (exceptional written, verbal and grammar skills);
  • Ability to network internally to build relationships across team;
  • Budget management experience;
  • Excellent written and verbal communication skills;
  • 5+ years’ administrative experience supporting at the executive level;
  • Ability to manage and prioritize multiple project and tasks Discretion and confidentiality is a must;
  • Advanced Microsoft Office (Excel, Word, PowerPoint, SharePoint, etc.);
  • Basic project management skills;
  • Organizational skills;
  • 3+ years’ experience of working as Executive Administrative Assistant, Senior Executive Assistant or other relevant position;
  • Proficiency in English & Spanish and in-depth knowledge of MS Office.
