Executive Assistant to the Founders
Singular Builders is a San Francisco-based construction company focused on delivering complex, design-forward, and technically demanding projects. Our work includes seismic retrofits, ground-up construction, urban infrastructure projects, and high-end commercial interiors across California and Arizona.

We are seeking a highly capable Executive Assistant to support the founders and leadership team. This is a high-impact role that goes beyond traditional administrative supportyou will help keep leadership focused, projects coordinated, and operations running smoothly across multiple active jobs.
The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced, multi-project environment. You will act as a central point of coordination across executives, project teams, clients, and vendors .
Coordinate meetings with clients, consultants, subcontractors, and internal teams
Draft and manage professional correspondence and internal communications
Coordinate travel logistics and detailed itineraries
Serve as a gatekeeper and liaison for executive communications,
Operations & Project Coordination support active construction projects through documentation, scheduling, and coordination
Track project deadlines, deliverables, and follow-ups across multiple teams
Assist with permits, contracts, and project documentation organization
Coordinate with project managers, subcontractors, and consultants
Help ensure clear communication between office and field teams
Financial & Administrative Support
Track invoices, expenses, and reimbursements
Assist with vendor coordination and basic bookkeeping
Maintain organized filing and document systems
Take ownership of ad hoc projects and problem-solving as needed
Strong organizational and project coordination skills
~ Bachelors degree preferred but not required
Microsoft Office (Outlook, Excel, Word, PowerPoint, Teams)
Google Workspace
DocuSign and document management tools
Someone who anticipates needs rather than reacts
Comfortable working across office and project environments
Work directly with experienced founders on complex, high-quality projects
Gain exposure to both executive leadership and construction operations
