Sales Support and Order Processor

A growing organization in Irvine, CA is seeking a detail-oriented Sales Administrator to support assigned sales representatives with order processing, customer quotes, customer communication, account updates, and sales administration. This direct hire opportunity is ideal for a sales support professional who enjoys working in a fast-paced, systems-driven environment where accuracy, responsiveness, and follow-through are highly valued.

The Sales Administrator will play an important role in keeping sales activity moving smoothly by coordinating between Sales, customers, and internal Operations. This position offers the opportunity to work with a supportive team, contribute to a positive customer experience, and build strong expertise across order management, quoting, ERP/CRM systems, and sales operations workflows. Process customer orders for assigned sales representatives, including accurate order entry in NetSuite and review of purchase orders for completeness.

• Prepare and revise customer quotes, follow up on quote activity, and ensure product, quantity, and specification details are interpreted accurately.
• Communicate professionally with customers regarding order acknowledgements, ship dates, backorder ETAs, tracking information, and order-related questions.
• Coordinate with internal teams to resolve order issues, manage workflow priorities, and keep customer requests moving efficiently.
• Process Return Authorization requests after internal approval and maintain clear communication with customers throughout the return process.
• Support sales administration needs including customer record updates, account research, contact maintenance, and sales-related projects.

Process and coordinate customer orders with a high level of accuracy and timeliness.

• Prepare customer quotes and support quote revisions, follow-up, and customer clarification.
• Manage customer order communication, including acknowledgements, ship dates, tracking, backorders, and return authorization updates.
• Support sales representatives with account administration, customer data updates, and sales operations projects.
• 3 to 5 years of experience in sales administration, sales support, order processing, customer service, or a related role.
• Strong written and verbal communication skills with a professional, customer-focused approach.
• Proficiency with Microsoft Office, including Outlook, Word, Excel, and Teams.
• Strong Excel skills, including formulas, sorting and filtering, pivot tables, lookups, and working with structured data.
• Experience using ERP or CRM systems, with NetSuite experience strongly aligned to the role.
• Experience supporting multiple sales representatives or customer accounts in a high-volume order processing environment.
• Familiarity with product-based sales, quoting workflows, purchase orders, backorders, and return authorization processes.
• Experience using AI-assisted tools to draft communications, organize information, research account details, or improve administrative workflows.
