Position Title: Accounts Payable Specialist

Reports To: Accounts Payable Supervisor/Accounting Manager

Hours: 8am - 5pm CST M-F

Position Summary

The Accounts Payable Specialist is responsible for managing and processing all accounts payable transactions accurately and timely. This role ensures that vendors are paid according to agreed terms, maintains accurate financial records, and supports the finance team

in achieving overall accounting objectives.

Essential Job Functions

 Process vendor invoices, expense reports, and other payment requests accurately and on time.

 Review invoices for proper authorization, coding, and documentation.

 Reconcile vendor statements and resolve discrepancies.

 Maintain accounts payable records and files in compliance with company policies and internal controls.

 Prepare and process electronic payments, checks, and wire transfers.

 Assist in month-end and year-end closing processes, including accruals and reconciliations.

 Respond to vendor inquiries regarding payment status, terms, and discrepancies.

 Support audits by providing documentation and responding to inquiries.

 Collaborate with internal teams to ensure proper handling of purchase orders and invoices.

 Identify process improvements to enhance efficiency and accuracy of AP operations.

Experience and Education

 Bachelor’s degree in Accounting, Finance, or related field preferred.

 2+ years of experience in accounts payable, accounting, or finance.

 Strong understanding of accounting principles and financial processes.

 Proficiency with accounting software (e.g., QuickBooks, SAP, Oracle, or similar).

 Advanced MS Excel skills.

 Excellent attention to detail and organizational skills.

 Strong communication and interpersonal skills.
