Kinrei of America (KOA) is a Wayne, NJ-based manufacturers’ rep of wire and cable manufacturing machinery, and a subsidiary of Donnelly Industries. We represent a portfolio of leading international machinery manufacturers supplying stranding, cabling, extrusion, electroplating, and reel equipment to wire and cable manufacturers across North America. We have been serving the industry for over 25 years and are a small, growing team. Supporting long-standing customer relationships and an expanding project pipeline.

The Role

We're looking for a Sales & Operations Coordinator to be the operational backbone of our sales process — keeping quotes, projects, and shipments moving accurately and on schedule. You'll take finalized technical scope and turn it into customer-ready quotes, track deals and orders through to delivery, manage our CRM, and coordinate the logistics that get equipment from our OEM partners to our customers. This role does not involve technical scoping or engineering judgment — but it is central to making sure nothing falls through the cracks as we grow.

What You'll Do

Quote Generation & Follow-Up

• Format and issue customer-facing quotes from technical scope and supplier pricing
• Track outstanding quotes and proactively follow up with sales team
• Keep quote status, revisions, and versions accurately logged

CRM & Internal Workflow

• Own day-to-day CRM management (Pipedrive) — lead entry, deal updates, and data accuracy
• Ensure every lead and deal has an associated task or next action, with no overdue items
• Maintain a high-quality, current contact and company database
• Run a weekly review of overdue tasks and outstanding follow-ups

Project Coordination

• Process purchase orders and get confirmed orders into the manufacturing pipeline with our OEM partners
• Track project milestones from order through manufacturing, billing, and delivery
• Coordinate with OEMs and customers on project status, documentation, and timelines
• Support refinement of supply scope and quote updates as projects evolve

Logistics Coordination

• Prepare and manage shipment documentation (commercial invoice, packing list, bill of lading/waybill)
• Coordinate with customs brokers and freight partners on inland trucking, port clearance, and ocean/international shipment
• Confirm payment-to-OEM and customer billing sequencing before equipment release

General & Administrative Support

• Provide day-to-day administrative support to the sales and operations team
• Help maintain an organized directory of sales and marketing collateral (spec sheets, photos, brochures) as needed
• Support ad hoc reporting and documentation requests

What We're Looking For

• 2–5 years of experience in sales operations, CRM administration, project coordination, or logistics — ideally in a B2B, manufacturing, or industrial equipment environment
• Experience with international shipping/import-export documentation and Incoterms is a strong plus
• Comfortable owning a CRM and keeping data clean and current
• Highly organized, detail-oriented, and able to manage multiple open threads (quotes, orders, shipments) at once
• Strong written communication — comfortable coordinating between customers, OEM partners, and internal team
• Self-directed and reliable;
  this role is central todaily operations and requires consistent follow-through
• Bachelor's degree preferred, not required
