POSITION DESCRIPTION:
NCLR is a national legal and advocacy organization serving LGBTQ people and their families. The Executive Assistant (EA) to the President serves as a trusted partner and operational anchor for the head of this nationally recognized LGBTQ+ rights organization. This is a high-impact, highly confidential role requiring exceptional judgment, proactive problem-solving, and the ability to operate with discretion at the intersection of executive leadership, board governance, and national advocacy. The EA manages the President’s time, travel arrangements, communications, strategic priorities, and serves as the liaison to the board, enabling organizational leadership to operate at full capacity. The ideal candidate brings deep commitment to social justice, thrives in a fast-paced and mission-driven environment, and excels at building relationships across a geographically dispersed, remote team.
KEY RESPONSIBILITIES:
Executive & Calendar Management
- Manage a complex, high-volume calendar for the President, including scheduling and prioritizing internal meetings, external stakeholder engagements, speaking engagements, media appearances, and coalition convenings.
- Proactively anticipate scheduling conflicts, identify competing priorities, and resolve them with sound judgment and minimal direction.
- Coordinate all domestic and occasional international travel logistics, including itineraries, ground transportation, lodging, and expense reconciliation.
- Prepare the President for meetings with thorough briefing materials, background research including notetaking, talking points, and relevant context.
- Other duties as assigned.
Communications & Correspondence
- Lead coworking sessions with the President to manage tasks and triage email. Make decisions and respond as delegated by the President.
- At the direction of the President, serve as the primary gatekeeper for the President’s inbox, triaging communications, drafting and sending responses, and escalating time-sensitive matters with appropriate urgency.
- Draft, edit, and finalize a broad range of correspondence including letters, emails, reports, speeches, and public statements on behalf of the President.
- Maintain professional relationships with key external contacts including funders, government officials, partner organizations, media representatives, and LGBTQ+ community leaders.
- Ensure timely follow-up on action items arising from the President's meetings and commitments.
- Liaise staff, Board members, and external stakeholders with professionalism and an equity-forward lens.
- Other duties as assigned.
Board & Governance Support
- Support Board of Directors operations, including attending quarterly board meetings, (including at least one in-person board meeting a year) scheduling and logistics for Board and committee meetings, preparing agendas and board packets, recording minutes and serving as notetaker, and managing follow-up action items.
- Maintain current Board contact information, governance documents, and meeting records in accordance with organizational policy.
- Coordinate with Board leadership and committee chairs to ensure governance processes are executed with accuracy and timeliness.
- Assist with annual Board recruitment and onboarding logistics.
- Other duties as assigned.
Operational & Project Support
- Track and manage the President's strategic priorities and cross-departmental initiatives, ensuring deliverables stay on schedule.
- Coordinate special projects, events, and convenings involving the President, including national conferences, donor cultivation events, advocacy days, and community forums.
- Manage logistics for all-staff meetings, leadership team retreats, and other organizational gatherings involving national staff across time zones.
- Process expense reports, reimbursements, and invoices associated with the Office of the President/ED as assigned
- Maintain organized electronic filing systems for key documents and confidential records.
- Cultivate and maintain positive relationships with allied LGBTQ+ organizations, civil rights coalitions, government partners, and philanthropic contacts on behalf of the Office of the President.
- Coordinate VIP outreach, acknowledgment communications, and stewardship activities as directed.
- Support the President's public profile, including coordination with communications department on media requests, speaking engagements, and digital presence.
- Represent the organization with professionalism and warmth in all internal and external interactions.

QUALIFICATIONS:
Required:
- Minimum 5 years of experience as an executive assistant, chief of staff, or comparable role supporting senior organizational leadership.
- Demonstrated commitment to equity, justice, and social change
- Exceptional written and verbal communication skills, including ability to draft polished correspondence and materials for diverse audiences.
- Proven ability to handle sensitive and confidential information with the highest degree of discretion and professionalism.
- Outstanding organizational skills with the ability to manage competing priorities, shifting deadlines, and a high volume of detail-oriented tasks.
- High proficiency with Microsoft 365 including: Outlook, Teams and Teams Channels, Sharepoint, OneDrive, Google Suite, and Zoom.
- Comfortable working across time zones with staff in multiple states and managing logistics for a nationally distributed team.
- Strong interpersonal skills and cultural competency, with the ability to engage respectfully and effectively with people of diverse identities, backgrounds, and communication styles.
- Ability to work independently, exercise sound judgment, and take initiative in a fast-paced, mission-driven environment.
- Resides in the local San Francisco-Bay Area, working remotely with ability to attend scheduled or impromptu in-person meetings to support the President.
- Travel occasionally to support the President.
Preferred:
- Bachelor's degree or equivalent professional experience; advanced degree a plus but not required.
- Prior experience in a nonprofit, civil rights, advocacy, or policy organization.
- Experience supporting a CEO or Executive Director in an organization with a national or multi-site footprint.
- Familiarity with board governance, nonprofit compliance requirements, or legal/regulatory environments.
Salary and Benefits:
This is a full-time, exempt position with a salary range of $70,304 - $74,000. Excellent benefits: up to 17 days of vacation per year (based on employment status); sick leave; up to 15 paid holidays (based on employment status); medical/health/vision insurance coverage with 90% of premiums covered by employer; a 401(k) plan and employer contribution; short-term and long-term disability insurance; life insurance; Section 125 flexible spending pre-tax plans for qualified health and/or childcare expenses; family planning and transition related care stipend, sabbatical leave; and Section 132 transportation and parking pre-tax benefits. NCLR is also a qualifying employer for the Public Service Loan Forgiveness program through the Department of Education.
