TxDMV - Executive Office Administrator (Austin, TX)

Job Location This position is required to work at TxDMV headquarters located in Austin, TX. Responsibilities Provide high‑level administrative and technical assistance to the Executive Director and Executive Director’s Office (EDO) staff. Coordinate and manage administrative operations to ensure organizational efficiency, including greeting visitors and handling incoming communications. Develop and maintain administrative policies and procedures. Coordinate meetings and related logistics; arrange travel; provide support for Board and advisory committee meetings. Serve as liaison and provide guidance between EDO, divisions, and program staff. Identify and recommend improvements and efficiencies. Manage the Executive Director’s calendar, meetings, conferences, and travel logistics. Coordinate with the Government Relations Office for Executive Director speaking engagements. Act as point of contact for incoming Executive Leadership staff and provide orientation and resources. Manage human resources activities for departing, interim, and hiring executive staff, including onboarding and maintaining the Division Director Onboarding Manual. Develop and modify executive administrative program policies and procedures; interpret policies; analyze and implement changes. Lead the workgroup for Executive Leadership Support Staff; provide training; monitor staff progress; facilitate meetings; coordinate workshops. Prepare correspondence, meeting documents, memoranda, presentations, agendas, and reports. Attend meetings, summarize and follow up on action items; coordinate meeting logistics. Prepare Executive Director with board meeting materials, speaking points, and collect reports and support materials. Serve as backup to the TxDMV Board Liaison; coordinate performance evaluations for executive‑level staff. Monitor EDO and Board budget, oversee procurement, submit procurement requests, assist in budget forecasting, and maintain contracts. Maintain EDO content on the internet and intranet; assist with Board intranet and SharePoint sites. Serve as Continuity of Operations Coordinator; maintain the COOP and participate in disaster response and recovery. Administer the EDO filing system, electronic records retention, and serve as point of contact for open records requests. Monitor the legislative tracking system; coordinate hearings and materials; arrange meetings with legislative offices. Develop and execute special projects and assignments; perform other job‑related duties as assigned. Qualifications Bachelor’s degree from an accredited college or university plus three (3) years of experience directly supporting an executive‑level position; additional experience may be substituted for education on a year‑per‑year basis. #J-18808-Ljbffr Texas Department of Motor Vehicles
