Operations & Maintenance Group Maintenance Planner/Scheduler (Coordinator III)

The Bureau of Environmental Services (BES) is recruiting professionals for the position of Maintenance Planner/Coordinator III. This role is part of the Operations & Maintenance Group (O&M G), supports Maintenance Reliability and Asset Management, and manages Coordinators II who focus on field technician support through asset management practices, maintenance strategy, and Capital Improvement Projects (CIP). The Coordinator III is responsible for supervision and effective management of six Coordinators II while performing critical support for ongoing capital projects, maintenance management system changeout projects, and mapping and maintaining existing workflow processes. The position also oversees asset data management and develops workflow procedures and supporting tools. Responsibilities Provide leadership, supervision, and employee development through effective work planning, management, and clear performance direction. Establish workgroup performance expectations and regularly monitor team progress to create a high‐performing, equitable, service‑oriented work environment. Manage Maintenance Planning and Computerized Maintenance Management System (CMMS) work (Synergen & Infor) to provide expertise and hands‑on work order support to team members and stakeholders. Lead work in creating/retiring assets, preparing maintenance procedures, planning and scheduling activities, creating specifications and bill of materials, and ensuring the maintenance management system is an accurate repository of facility characteristics. Lead the transition of the CMMS from Synergen to Infor. Establish and refine programmatic goals by developing and maintaining workflow processes, a SharePoint site, policies, procedures, and supporting documentation for effective program implementation, including QA/QC of critical data. Lead Capital Improvement Project coordination through collaboration with the Engineering team to transition assets from construction/start‑up to operation and maintenance. Develop processes that enable integration of asset management data into GIS. Lead refinement of documentation procedures within the City’s Record Management system (HP Content Manager) and procedures for utilizing this in conjunction with the CMMS. Attend weekly safety committee meetings and ensure the City’s safety program continues to grow, creating safe working environments and documenting compliance in the Synergen. Callout Coordinator duties: a weeklong assignment to field after‑hours mechanical, instrumentation, and electrical calls from operations, making critical decisions with high consequence of failure, and dispatching appropriate technicians to resolve issues at treatment plants and pump stations. During typical office hours, facilitate the daily O&M Group meeting, review callouts with other work groups, track issues, and attend monthly call‑out coordinator meetings. Qualifications Experience leading and managing high‑performing teams. Experience in asset management, maintenance reliability, and condition assessment. Experience using a computerized maintenance management system. Effective planning, organization, and work prioritization skills. Ability to work independently and with a team. Ability to establish and maintain effective relationships with diverse teams. Ability to coordinate and track the process of work assignments for large teams. Knowledge of Microsoft Office and centralized maintenance management systems for asset tracking and work order scheduling. Knowledge of the principles, methods, and equipment used in the construction, installation, maintenance, and repair of large public works systems. Knowledge of design and construction documents such as standard engineering drawings and the ability to read and understand those documents. Ability and experience in preparing clear and concise records, reports, and other written materials.
