Position Overview The Office Manager at the Hannigan reports to the Program Director and is responsible for overseeing the administrative and operational functions of a designated program site. This position plays a critical role in supporting efficient office operations, fiscal administration, vendor coordination, facilities management, and program support activities. The Office Manager serves as a key liaison between program staff, vendors, internal departments, and external partners to ensure the effective day-to-day functioning of the site. Responsibilities may vary based on program needs and may include supervision of administrative staff. Key Responsibilities Support program management in coordinating program activities, events, and special initiatives, including outreach efforts, event logistics, supply management, vendor coordination, and collaboration with internal and external partners. Develop, implement, and maintain administrative systems and processes that promote efficient office operations and support program objectives. Oversee daily office operations, identify operational needs, and work collaboratively with program leadership to address issues and improve workflow. Support fiscal operations by monitoring program expenditures, processing financial transactions, maintaining financial records, reconciling funds, and ensuring compliance with agency policies and procedures. Assist with budget monitoring, fiscal reporting, vendor management, invoice tracking, and purchasing activities to support program operations and financial accountability. Manage representative payee and related financial support services in accordance with agency policies and applicable regulations. Coordinate vendor relationships, monitor service delivery, and ensure office and program resources are available to support operational needs. Support fiscal year‑end activities and ensure administrative and financial processes are completed accurately and on schedule. Serve as a professional point of contact for clients, visitors, vendors, and external partners while maintaining confidentiality and providing excellent customer service. Manage office communications, including reception functions, mail distribution, phone systems, and general correspondence. Oversee office facilities and resources, including supply inventories, equipment, workspace organization, deliveries, storage, and office access procedures. Coordinate administrative support for meetings, trainings, events, and onboarding activities, including workspace setup and distribution of office resources. Collaborate with facilities, operations, and program leadership to address maintenance needs, coordinate repairs, and support a safe and functional work environment. Support technology and administrative systems by coordinating equipment needs, data entry activities, reporting requirements, and troubleshooting efforts with internal departments and external vendors. Ensure administrative operations are carried out in accordance with agency policies, procedures, contractual requirements, and program expectations. Provide supervision, guidance, and support to administrative staff, as assigned, including workload management, task delegation, coaching, and performance oversight. Perform other related duties and special projects as assigned. Experience supporting fiscal operations, budgeting, purchasing, vendor management, and office administration. Excellent communication and interpersonal skills with the ability to work effectively with clients, staff, vendors, and community partners. Strong problem‑solving skills and the ability to exercise sound judgment in a fast‑paced environment. Proficiency with office technology, databases, and administrative systems. Ability to work independently while collaborating effectively as part of a multidisciplinary team. Commitment to professionalism, customer service, confidentiality, and operational excellence. Flexibility to travel between program sites and external locations as needed. Requirements Education & Experience Office Manager 1:HS Diploma and 3 years of relevant experience Office Manager 2: HS Diploma and 6 years of relevant experience or BA and 2 years of relevant experience Office Manager 3: HS Diploma and 8 years of relevant experience or BA and 4 of relevant experience Knowledge, Skills, and Abilities Knowledge of office operations, administrative systems, and fiscal procedures. Strong organizational skills with the ability to manage multiple priorities and deadlines. Effective communication skills for interacting with staff, clients, vendors, and external partners. Proficiency in Microsoft Office Suite, database systems, and office technology. Problem‑solving ability to address administrative or operational issues proactively. Attention to detail in handling records, reports, and financial documentation. Ability to maintain confidentiality and handle sensitive information with discretion. Team collaboration skills to work effectively across departments and with diverse stakeholders.
