Job Title: Administrative Coordinator
Location: New York, NY 10029
Schedule: Monday – Friday | 9:00 AM – 5:00 PM
Pay Rate: $21/hr
Job Summary
The Administrative Coordinator is responsible for supporting administrative and office service functions, including purchasing, payroll, records management, and human resources activities for a department, care center, or division. This role provides direct support to department leadership and may oversee 1-2 administrative staff members.
Key Responsibilities
- Answer routine and department-specific inquiries and direct questions to the appropriate personnel when necessary.
- Assist with budget monitoring and preparation of documents required to maintain balanced accounts.
- Process payroll and human resources transactions and coordinate with HR and Payroll teams to resolve issues.
- Monitor office supply inventory and coordinate purchasing and replenishment of materials and equipment.
- Track vendor contracts and assist with renewals.
- Coordinate meetings, conferences, seminars, and special events, including logistical arrangements and preparation of meeting materials.
- Prepare and distribute meeting minutes, reports, flyers, brochures, and other departmental communications.
- Research, compile, and organize information for reports, presentations, and statistical analyses.
- Review documents for completeness and ensure all required information and approvals are included.
- Assist with special projects, accreditation surveys, and grant-related activities as needed.
- Train and orient new administrative staff and assist with workflow coordination.
- Coordinate office support coverage and assist in assigning work and monitoring deadlines.
- Perform other administrative duties as assigned.
Required Qualifications
- Minimum of 5 years of administrative, office management, or business-related experience .
- Intermediate proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational, communication, and multitasking skills.
- Ability to manage competing priorities and meet deadlines.
- Excellent customer service and relationship-building skills.
- Strong problem-solving and decision-making abilities.
- Ability to work independently and collaboratively in a fast-paced environment.
