Administrative Assistant

Job Title: Administrative Assistant

Location: Franklin, Wisconsin, United States

Type: Full Time

Our client is looking for a highly organized and proactive Administrative professional to support day-to-day operations within their department. This role plays a key part in ensuring smooth coordination, effective communication, and timely completion of administrative tasks while handling confidential information with discretion.

Key Responsibilities:

  • Coordinate and manage calendars, including scheduling meetings and appointments.
  • Develop and prepare documents such as reports, presentations, spreadsheets, correspondence, and other business materials.
  • Support the creation and maintenance of reports, trackers, and dashboards.
  • Act as a primary contact for technology-related access and support, including PC/LAN coordination.
  • Monitor office supply levels, forecast requirements, and place orders as needed.
  • Arrange travel logistics when required.
  • Process invoices, prepare expense reports, and ensure accurate reconciliation.
  • Record and distribute meeting notes when applicable.
  • Serve as a go-to resource for administrative processes and office procedures.
  • Contribute to projects and initiatives as assigned.
  • Perform additional duties aligned with team and business needs.
  • Maintain strict confidentiality when handling sensitive information.

Qualifications:

  • Minimum of 3 years of experience in an administrative or support role.
  • High school diploma required; additional education or coursework is a plus.
  • Intermediate proficiency in Microsoft Office tools.
  • Comfortable working with general office technologies and systems.
  • Strong coordination, planning, and organizational capabilities.
  • Excellent verbal and written communication skills.
  • High level of accuracy with strong problem-solving abilities.
  • Ability to effectively prioritize tasks and manage multiple responsibilities.
