Legal Executive Assistant

$49.45 - $65.52 per hour

Summary The Legal Executive Assistant (LEA) supports lawyers by managing the daily functions of an attorney's practice, allowing them to concentrate on developing and sustaining their practice. The LEA serves as an executive‑level assistant, creating connections, delivering critical information, ensuring meetings and materials are accurate, and acting as a trusted business partner to help meet the priorities of the practice and its clients. Location Palo Alto office – hybrid work schedule. Responsibilities Provide support and management of the attorney’s projects to ensure deadlines are met and tasks are completed efficiently. Consult with lawyers and administrative teams to align project milestones. Act as a liaison between attorneys, clients, and internal departments, handling inquiries and relaying messages accurately. Use independent judgment and make sound decisions on behalf of the attorney. Develop and maintain professional relationships to promote efficient teamwork. Give clear direction and constructive feedback on projects and assignments. Build trust, resolve conflicts, and collaborate effectively at all organizational levels. Delegate assignments to LSAs and ensure timely and accurate completion. Monitor progress of assignments and communicate outcomes on behalf of the attorney. Deliver service feedback and recommend improvements to firm management. Collaborate with other LEAs or LAAs to complete complex projects or provide additional support. Provide mentorship and development feedback to LSAs. Draft, proofread, and finalize legal documents, correspondence, and presentations. Ensure accuracy of final work product and provide feedback to improve quality and timeliness. Oversee maintenance and organization of electronic and paper filing systems within the firm’s DMS. Conduct research on behalf of the attorney and practice group, compiling information for case preparation and executive briefings. Coordinate meeting planning, including agenda preparation and material readiness. Manage billing matters, approvals, prebills, and follow‑up on behalf of the attorney. Manage the attorney’s calendar, schedule meetings, resolve conflicts, and organize travel itineraries. Ensure attorney expenses and time entry are processed correctly and timely. Desired Skills Exceptional verbal and written communication in the native language of the region. Strong initiative, adaptability, and discretion with a commitment to continuous development. Professionalism and discretion when handling confidential information. In‑depth knowledge of processes, procedures, and document types for highest level of support. Problem‑solving ability and offering solutions to requests and challenges. Effective interpersonal skills to interact with lawyers, clients, and support teams. Clear and concise communication of complex information, both orally and in writing. Process-driven, excellent time‑management, and ability to prioritize and multitask in a fast‑paced setting. Attention to detail and initiative in planning. Ability to work well under pressure and remain positive and productive. Comfortable with complex information, request assistance from firm resources, and deliver productivity. Expertise with technology and firm software: research tools, case‑management software, accounting software, and standard production applications (Word, PowerPoint, Excel). Adaptability to application upgrades and AI‑powered tools for document production, review, and research. Proficiency in virtual collaboration tools such as Zoom and Teams. Minimum Education High School Diploma or GED. Preferred Bachelor’s degree in legal studies, business administration, or a related field. Minimum Years of Experience Five years in an administrative role within a corporate or legal environment, supporting upper‑level leadership. Essential Job Expectations Effectively communicate verbally and in writing with clients, lawyers, business professionals, and third parties. Provide timely, accurate, and quality work product. Meet deadlines, foster positive relationships, comply with firm policies, sustain high performance under pressure, and perform all duties as assigned. Physical Demands Sedentary work: extended periods at a computer, occasional lifting up to 10 pounds. Minimal standing or walking required. Work Environment Hybrid arrangement may blend remote and in‑office work; specifics are determined in coordination with the hiring manager and may evolve. Compensation and Benefits Hourly rate of $49.45 – $65.52 depending on geographic market. Paid on an hourly basis with overtime in accordance with applicable laws.
