Administrative Assistant (Construction/Equipment Rental Industry)

Allegiance Crane & Equipment is seeking a detail-oriented and organized Administrative Assistant with experience in the rental or construction industry to join our team in Fort Myers, FL.
The ideal candidate will support daily office operations, and have a strong attention to detail and the ability to communicate effectively in both written and verbal communication.

Key Responsibilities:

• Provide general administrative support including data entry, filing, scanning, and document management
• Answer phone calls and general email inquiries.
• Respond to customer inquiries with professionalism
• Coordinate and dispatch field team members to job sites based on project schedules and customer needs.
• Facilitate the onboarding process of new team members according to the Company's new hire process.
• Assist with billing and invoicing.
• Ensure compliance with company policies and safety regulations

• 2+ years of administrative experience, preferably in the construction, equipment rental, or related industries
• Prior experience with dispatching or coordinating field operations is highly desirable
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with rental or dispatch software is a plus
• Excellent organizational and time management skills
• Strong verbal and written communication skills
• Ability to multitask in a fast-paced environment
• High school diploma or equivalent required; Associate’s degree preferred.

Physical Requirements

Must be able to sit at a computer, read computer screen, and input information for long periods of time. Sharing office space is a possibility. Some light travel could be required. Must be able to move about office as needed. Must be able to lift up to 5 pounds.
