About the Role:

The Administrative Assistant in the Health Care and Social Assistance sector plays a critical role in ensuring the smooth and efficient operation of the office environment. This position is responsible for managing a variety of administrative tasks that support healthcare professionals and organizational staff, enabling them to focus on delivering quality care and services. The role requires meticulous attention to detail in maintaining calendars, coordinating meetings, and handling travel arrangements to optimize time management and resource allocation. Additionally, the Administrative Assistant manages multi-line phone systems and records, ensuring effective communication and accurate documentation within the organization. Ultimately, this position contributes to the overall productivity and effectiveness of the healthcare team by providing reliable and professional administrative support on a daily basis.

Minimum Qualifications:

  • High school diploma or equivalent required; Associate’s degree or higher preferred.
  • Proven experience in general administrative support, preferably within a healthcare or social assistance setting.
  • Proficiency in calendar management and scheduling software.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent verbal and written communication skills.

Preferred Qualifications:

  • Experience with electronic health records (EHR) systems or healthcare management software.
  • Familiarity with HIPAA regulations and patient confidentiality standards.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Prior experience coordinating travel and multi-line phone systems in a professional environment.
  • Certification in administrative support or office management.

Responsibilities:

  • Manage and maintain complex calendars for healthcare staff, scheduling appointments, meetings, and events with precision.
  • Coordinate travel arrangements including booking flights, accommodations, and transportation for staff as needed.
  • Operate multi-line phone systems to handle incoming calls, direct inquiries, and provide timely responses to patients and colleagues.
  • Perform general clerical duties such as filing, data entry, and records management to ensure accurate and organized documentation.
  • Arrange and prepare materials for meetings, including agendas, minutes, and follow-up communications to support effective collaboration.

Skills:

The required skills such as general administrative abilities, calendar management, and arranging meetings are essential for organizing daily workflows and ensuring that healthcare professionals can operate efficiently without administrative distractions. Maintaining calendars and managing travel arrangements require strong attention to detail and time management to prevent scheduling conflicts and optimize resource use. General clerical skills and records management are critical for maintaining accurate patient and organizational records, which supports compliance and operational integrity. Handling multi-line phone systems demands excellent communication skills and professionalism to manage inquiries and direct calls appropriately. Preferred skills like familiarity with healthcare software and regulatory knowledge enhance the ability to navigate the specific demands of the healthcare environment, ensuring that administrative support aligns with industry standards and best practices.
